About the Department:

The Early Identification Program (EIP) at George Mason University is dedicated to enhancing the academic journey of students who are the first in their families to pursue higher education. The program fosters a supportive environment through various initiatives, including tutoring, mentoring, and workshops focused on college readiness.

About the Position:

The Operations Specialist is responsible for overseeing the administrative operations that support the office's mission. This role includes managing front-line services, procurement, telecommunications, inventory management, scheduling, and supervising student employees. The Operations Specialist will collaborate closely with the Executive Director and team members to ensure the successful execution of projects and events.

Key Responsibilities:

  • Monitor daily office operations to enhance efficiency and productivity:
    • Ensure quality service delivery to program partners and students;
    • Manage front-line services, including handling inquiries and scheduling;
    • Provide information regarding the Early Identification Program (EIP) and its offerings.
  • Recruit, train, supervise, and assess Office Assistants:
    • Ensure front desk coverage during operational hours;
    • Evaluate the performance of student staff to maintain high standards;
    • Guide student employees in executing essential service functions.
  • Oversee procurement and inventory management:
    • Ensure office equipment is operational and coordinate repairs as necessary;
    • Act as a liaison with administrative departments for service requests;
    • Manage supply purchases and travel arrangements.
  • Maintain student records and oversee archiving processes:
    • Ensure proper documentation for incoming students and secure storage of files;
    • Enforce confidentiality protocols for sensitive information.
  • Provide logistical support for events and collaborate with program staff:
    • Assist in reserving spaces and arranging catering services;
    • Coordinate transportation for students attending events.
  • Work with the Budget Specialist to track expenses and ensure compliance with fiscal policies.

Required Qualifications:

  • Associate's degree in a relevant field or equivalent experience;
  • Proven experience in delivering exceptional customer service;
  • Familiarity with purchasing and expense tracking systems;
  • Experience supervising front desk operations;
  • Ability to manage multiple tasks and meet deadlines;
  • Strong communication skills, both written and verbal.

Preferred Qualifications:

  • Bachelor's degree in a related discipline;
  • Fluency in Spanish;
  • Knowledge of university and state procurement systems.
