JOB PURPOSE:

Reporting to the Director of Sales and Marketing and Ownership, you will be tasked with delivering sales and administrative assistance to the Sales team, ensuring efficient departmental operations. This role will oversee several properties within the San Francisco Market, encompassing both franchised and non-franchised establishments.

ESSENTIAL JOB FUNCTIONS:

  • Organizing sales calls and client meetings
  • Attracting new and existing clients to achieve and surpass revenue goals through external sales calls, on-site visits, and community networking
  • Drafting proposals and contracts for clients
  • Traveling locally to cultivate customer accounts and drive business to specific hotels, enhancing market share across all revenue channels
  • Coordinating site visits as necessary
  • Representing the hotel professionally at various industry events, adhering to budget and marketing strategies
  • Maintaining hotel and Sales & Marketing databases
  • Conducting market research and competitive analysis to generate reports
  • Assisting with Sales & Marketing initiatives
  • Reporting any unusual incidents or requests to the manager or assistant manager.
  • Recognizing that business needs may require shifting employees from their usual schedules to other shifts.
  • Collaborating with all departments to ensure proper group arrivals, stays, and departures
  • Acting as the point of contact for non-direct calls into the executive office/sales.
    Directing calls and emails for leads to the appropriate sales and catering managers
  • Participating in property staff meetings and other property-specific meetings as requested by management
  • Managing and maintaining Banquet Event Orders (BEOs)
  • Performing any additional duties as assigned by management
  • Must be available for travel

QUALIFICATIONS & SKILLS:

Essential:

  • High School diploma or equivalent work experience.
  • 3 years of experience in a similar role, preferably within the hospitality sector.
  • Proven success in a fast-paced, high-volume, and demanding environment
  • Strong communication and interpersonal skills
  • Excellent organizational and time management abilities to meet tight deadlines
  • Attention to detail is crucial for administrative tasks and data entry
  • Proficiency in CRM systems and Microsoft Office Suite, especially Outlook, Word, and Excel
  • Previous experience in a comparable role within a hospitality office setting is preferred
  • Familiarity with Lightspeed, Opera, Fosse, Merlin, Delphi, or STS catering and sales systems is advantageous
  • Exceptional grooming and personal presentation
  • Competent computer literacy skills.
  • Initiative, outstanding guest service, and decision-making capabilities are essential.
  • Ability to type at least 40 words per minute.
  • Capability to perform basic mathematical calculations.
  • Focus on guest needs, maintaining composure and courtesy at all times.
  • Ability to manage multiple requests simultaneously under pressure.
  • Ability to work collaboratively with other departments and colleagues as part of a team.
  • Flexibility in scheduling.
  • Capability to arrange various services for individuals.
  • Ability to perform job functions with minimal supervision.
  • Ability to communicate instructions clearly and seek assistance when needed.
