Position Overview: The Vice President of Operations at the Marjaree Mason Center (MMC) is tasked with overseeing the comprehensive operational framework of the organization. This role is pivotal in ensuring adherence to both internal and external policies, regulations, and standards. Key responsibilities include steering strategic initiatives, supervising departmental functions, and enhancing organizational effectiveness through meticulous policy management and compliance oversight.

The successful candidate will possess a wealth of executive leadership experience, showcasing a proven track record in optimizing the administration of a high-performing entity. The ideal individual will be a strategic thinker, adept at problem-solving, and committed to fostering collaboration and communication throughout the organization. Key Responsibilities:

Leadership
  • Partner with the Chief Executive Officer (CEO) to establish and propel the organizational vision, strategy, and operational framework.
  • Formulate actionable strategies that align with the strategic plan, facilitating organization-wide goal setting and performance management.
  • Monitor departmental performance, implementing corrective actions as necessary; prepare comprehensive reports on current and projected outcomes.
  • Engage in the annual budgeting process in collaboration with senior leadership.
  • Work alongside the CEO, senior leadership, and the Board to develop future strategic initiatives.
Operations
  • Ensure that front office personnel deliver exceptional service to all visitors.
  • Oversee the development and maintenance of a comprehensive policies and procedures manual, ensuring regular updates to foster an informed and efficient working environment.
  • Review and manage records of all memorandums of understanding (MOUs).
Compliance
  • Supervise the Data Analyst department, ensuring data accuracy and that it effectively communicates both quantitative and qualitative impacts.
  • Coordinate monthly reviews of grants and contracts, maintaining a tracking system for grant awards and relevant details.
  • Stay informed of all federal, state, and local business and regulatory requirements to ensure agency compliance.
  • Maintain comprehensive records of grant applications and contracts.
  • Review and authorize all contracts for accuracy prior to CEO execution.
Human Resources
  • Guide the Director of Human Resources in establishing and monitoring staff performance and development goals.
  • Ensure the implementation of workplace safety plans to minimize injuries.
  • Develop and maintain a professional development plan to enhance staff attraction and retention.
  • Regularly evaluate workplace culture strategies and employee engagement initiatives.
  • Collaborate with the Chief Programs Officer and Director of Human Resources to recommend training based on identified needs.
  • Ensure completion of mandatory training for all staff.
  • Provide supervisors with clear performance expectations and ongoing training in employee management.
Facilities
  • Oversee the Facilities Manager to ensure safe and efficient facility operations.
  • Review and update safety and emergency plans, ensuring compliance with public health guidelines.
  • Manage building maintenance, renovations, and security measures.
  • Work with the Facilities Manager to solicit bids for contracts and repairs, adhering to procurement policies.
  • Oversee lease agreements and negotiate new leases as necessary.
  • Ensure proper maintenance of MMC vehicles and manage related administrative tasks.
  • Implement a reservation system for shared spaces within MMC facilities.
  • Act as a point of contact for after-hours emergencies and repairs.
Other Duties: Additional responsibilities may be assigned as needed.

Qualifications:

Education and Experience:
  • Bachelor's degree from an accredited institution.
  • Minimum of 5 years of experience in a nonprofit environment preferred.
Computer Skills:
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
  • Experience with Raisers Edge and graphic design software preferred.
Language Skills:
  • Ability to read and interpret various documents and write routine reports.
  • Effective public speaking skills.
Mathematical Skills:
  • Ability to perform basic mathematical operations.
Reasoning Ability:
  • Ability to adapt to changing environments and solve practical problems.
Certificates, Licenses, Registrations:
  • Valid California driver's license and proof of insurance required.
Physical Demands:
  • Ability to perform various physical tasks as needed.
Work Environment:
  • Primarily indoor office environment with occasional outdoor engagements.
