Position: Administrative Assistant

Required Qualifications: A minimum of a high school diploma is essential, along with at least four (4) years of experience in administrative roles. Experience working with contractors is preferred, with a focus on systems and procedures.

Key Responsibilities:

  1. Meeting Coordination: Assist in organizing appointments, conferences, and meetings, providing logistical support and recording minutes as needed.
  2. Call Management: Professionally handle incoming calls, directing them to the appropriate personnel and addressing basic inquiries.
  3. Visitor Coordination: Welcome visitors and assist with access requirements for official meetings.
  4. Document Creation and Editing: Develop and revise documents using word processing software, ensuring adherence to company policies and standards.
  5. Records Management: Support the organization in managing and disposing of records in compliance with established policies.
  6. Office Supply Management: Monitor and replenish office supplies as necessary, following company guidelines.
  7. Equipment Maintenance: Oversee office equipment functionality and report issues promptly.
  8. Mail Processing: Manage incoming and outgoing mail, ensuring timely processing and tracking.
  9. Travel Coordination: Assist in organizing travel arrangements and maintaining accurate records of travel expenses.
  10. Training Support: Aid in the preparation and processing of training requests for staff.
  11. Timekeeping: Monitor and verify timecard data for payroll accuracy and address inquiries related to timekeeping.
