PURPOSE AND SCOPE:

The Clinical Operations Coordinator collaborates with the Facility Manager, medical personnel, and support staff to streamline facility operations and patient procedures, ensuring the delivery of exceptional patient care in alignment with organizational policies and training protocols.

This role encompasses nursing support for both patients and staff.

Responsibilities include staffing management, staff training, equipment oversight, physician and patient relations, cost efficiency, supply oversight, medical record maintenance, patient billing, and adherence to OSHA and all relevant compliance standards.

PRINCIPAL DUTIES AND RESPONSIBILITIES:
  • Championing organizational quality standards by meeting regulatory requirements and implementing Continuous Quality Improvement (CQI) practices, utilizing organizational CQI tools.
  • Ensuring superior patient care quality as defined by organizational goals, collaborating with the Vice President of Quality and management to uphold ASC policies and procedures.
  • Proactively addressing adverse events and maintaining action thresholds.
  • Conducting data collection and auditing activities while ensuring the integrity of medical records and operational documentation.
  • Supervising facility staff in executing safe and effective vascular access procedures, adhering to established policies and regulatory standards.
  • Delegating tasks to direct patient care staff, including RNs, Radiology Technologists, and Front Desk Coordinators.
  • Managing daily staffing schedules to ensure adequate coverage, including breaks.
  • Assessing patient needs daily and appropriately assigning patient care responsibilities.
  • Monitoring patient care staff for compliance with techniques and facility policies, providing assistance as needed.
  • Recommending disciplinary actions in collaboration with the Facility Manager.
  • Assisting the Facility Manager with staff performance evaluations.
  • Participating in the selection, orientation, and training of new staff as required.
  • Conducting in-service training on equipment, supplies, and clinical practices for all personnel.
  • Coordinating all aspects of patient care from admission to discharge with relevant staff members.
  • Educating patients and their families on pre and post-procedure vascular access care.
  • Ensuring timely scheduling of patient procedures and efficient utilization of facility capacity.
  • Providing direct patient care and monitoring during pre, intra, and post-procedure phases as necessary.
  • Overseeing accurate documentation of patient treatments from admission through discharge.
  • Verifying that written orders, consents, and lab work are completed and documented per facility policies, including preparation of lab requisitions and reporting lab results to physicians.
  • Taking primary responsibility in emergency situations, maintaining competency in emergency operational procedures, and initiating CPR and emergency measures as required.
  • Administering medications and IV conscious sedation to patients as per physician directives, in compliance with all relevant regulations.
  • Participating in Governing Body and CQI meetings, assisting with agenda preparation and data gathering for reporting on assigned topics.
  • Ensuring proper operation of facility equipment and technology, including patient monitors and medical recording devices.
  • Maintaining a clean, safe, and sanitary environment throughout the vascular access facility through regular inspections and reporting of any maintenance issues.
  • Addressing blood spills immediately in accordance with Bloodborne Pathogen Control Policies.
  • Engaging in cost control initiatives, ensuring efficient use of medications, laboratory services, inventory, supplies, and equipment to meet supply cost goals.
  • Assisting in the development and revision of applicable facility policies and procedures to foster continuous improvement.
  • Initiating and documenting ongoing CQI activities, including monthly reports and attending required meetings.
  • Managing medication processes, including ordering, receiving, inventory control, and ensuring compliance with recording requirements for controlled substances.
  • Overseeing the maintenance of usage logs for all medications, ensuring appropriate documentation and records of drug disposal.
  • Communicating with pharmacists to ensure medication accuracy and compliance with legal recording requirements.
  • Ensuring medical records are accurate, complete, and compliant with organizational policies prior to patient discharge, conducting regular chart audits.
  • Participating in all facility regulatory and accreditation surveys and developing action plans to address identified deficiencies.
  • Verifying that records for all implanted devices are completed accurately and maintained according to management guidelines.
  • Acting as the Facility Manager in the absence of the manager or as directed by organizational management.
  • Holding appointed positions within the Governing Body, taking on primary roles or overseeing delegated staff.
  • Complying with HIPAA policies and standards regarding patient information and medical records.
  • Maintaining CLIA licensure with the Facility Administrator.
  • Performing other duties as assigned, within the scope of practice and state regulations.

  • Daily responsibilities include desk and computer work, as well as interaction with patients, facility staff, and physicians. The position requires travel between assigned facilities and various locations within the community. Attendance at regional, Business Unit, and Corporate meetings may be necessary.
  • The work environment is typical of a healthcare facility, featuring controlled air temperature and moderate noise levels. Exposure to infectious and contagious diseases/materials may occur.
SUPERVISION:
  • Direct supervision of facility patient care staff (Staff RNs, LPNs, Radiology Technologists, Surgical staff, Front Desk Coordinators).
EDUCATION:
  • Graduate of an accredited School of Nursing (R.N.).
  • Current state licensure and ACLS certification required.
  • ASC certification preferred.
EXPERIENCE AND REQUIRED SKILLS:
  • A minimum of three years' experience in an Ambulatory Surgical Center/Vascular Access Lab, or a combination of ASC, surgical, Interventional Radiology, and ICU/CCU experience preferred.
  • At least three years of Interventional Radiology scrub experience preferred.
  • Supervisory or management experience in a medical or vascular access setting is preferred.
  • Proficiency in Microsoft Office Suite is essential; experience with medical database software is beneficial.
  • Demonstrated management skills necessary for effective leadership and supervision of facility personnel, ensuring the delivery of high-quality patient care.
  • Strong communication skills, both verbal and written.
  • Certification in BLS & ACLS is required.
