POSITION SUMMARY:
The Clinical Operations Coordinator collaborates with the Facility Manager, healthcare personnel, and medical staff to streamline facility functions and patient care processes, ensuring high-quality service delivery in alignment with organizational standards and protocols. This role provides essential nursing support to both patients and staff, focusing on staffing management, training, equipment oversight, and compliance with healthcare regulations.
KEY RESPONSIBILITIES:
- Champion quality assurance initiatives by adhering to regulatory standards and implementing Continuous Quality Improvement (CQI) practices, utilizing organizational CQI resources.
- Ensure exceptional patient care quality by collaborating with the Vice President of Quality and management to uphold facility policies and procedures.
- Proactively address adverse events and compliance thresholds to enhance patient safety.
- Maintain the integrity of medical records and administrative documentation through diligent data collection and auditing processes.
- Supervise and guide facility staff in executing safe and effective vascular access procedures, adhering to established protocols and regulatory requirements.
- Delegate responsibilities among direct patient care staff, including RNs, Radiology Technologists, and administrative personnel.
- Manage daily staffing schedules to ensure adequate coverage and efficient patient care delivery.
- Assess patient needs daily and allocate care assignments accordingly.
- Monitor patient care staff for compliance with facility policies and provide support as needed.
- Assist the Facility Manager in conducting staff performance evaluations and disciplinary actions.
- Participate in the recruitment, orientation, and training of new staff members.
- Organize and facilitate in-service training on equipment and clinical procedures for all personnel.
- Coordinate comprehensive patient care from admission to discharge, ensuring effective communication among staff.
- Educate patients and their families on pre- and post-procedure care related to vascular access.
- Ensure timely scheduling of patient procedures and optimal utilization of facility resources.
- Provide direct patient care and monitoring during pre, intra, and post-procedure phases as required.
- Oversee accurate documentation of patient treatments throughout their care journey.
- Verify that all necessary orders, consents, and lab work are completed in accordance with facility protocols.
- Take charge during emergency situations, demonstrating proficiency in emergency procedures and CPR.
- Administer medications and IV sedation as directed by physicians, following all regulatory guidelines.
- Engage in Governing Body and CQI meetings, assisting with agenda preparation and data collection for reporting purposes.
- Ensure the proper functioning of facility equipment and technology, including patient monitoring systems and medical devices.
- Maintain a clean and safe environment within the facility through regular inspections and prompt reporting of maintenance issues.
- Address blood spills immediately, adhering to Bloodborne Pathogen Control Policies.
- Participate in cost management initiatives, ensuring efficient use of medications, supplies, and equipment.
- Contribute to the development and revision of facility policies and procedures to foster continuous improvement.
- Document and engage in ongoing CQI activities, including monthly reporting and meeting attendance.
- Manage medication inventory, ensuring compliance with legal requirements for controlled substances.
- Communicate with pharmacists to ensure medication accuracy and compliance with regulations.
- Verify the accuracy and completeness of medical records prior to patient discharge, conducting regular audits.
- Participate in regulatory and accreditation surveys, addressing any identified deficiencies.
- Ensure proper documentation for all implanted devices is completed accurately and maintained according to guidelines.
- Act as the Facility Manager in their absence, overseeing delegated responsibilities.
- Comply with HIPAA regulations regarding patient information and medical records.
- Maintain CLIA certification in collaboration with the Facility Administrator.
- Perform additional duties as assigned, within the scope of practice and state regulations.
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
- This position requires a combination of desk work and direct interaction with patients and staff. Travel between facilities may be necessary.
- The work environment is typical of a healthcare facility, with controlled temperatures and moderate noise levels, and potential exposure to infectious materials.
SUPERVISION:
- Direct supervision of patient care staff, including RNs, LPNs, Radiology Technologists, and administrative personnel.
EDUCATION AND EXPERIENCE:
- Graduate of an accredited nursing program (R.N.) with current state licensure and ACLS certification.
- Preferred experience in an Ambulatory Surgical Center or related field, with supervisory experience in a medical environment.
- Proficiency in Microsoft Office and medical database software is essential.
- Strong leadership and communication skills are required to ensure high-quality patient care.
- Certification in BLS and ACLS is mandatory.
