Position Overview
The Client Support Coordinator plays a crucial role in managing the workflow from initiation to completion, ensuring that client deadlines are met while safeguarding the confidentiality and security of all recordings, transcripts, and related materials. This role demands exceptional accuracy, outstanding customer service abilities, and excellent verbal and written communication skills, along with a strong attention to detail and the capacity to organize and prioritize tasks with limited supervision.

This is a full-time, remote/hybrid position, primarily working from home, with occasional responsibilities requiring presence in our office. The working hours for this role are set from 9:00 AM to 5:30 PM PST.
As a Client Services Representative, your responsibilities will include:
- Engaging with clients, including courts, agencies, law firms, and self-represented clients via phone and email to guide them through the ordering process.
- Providing pricing information to both new and existing clients.
- Processing initial deposits and final payments for orders.
- Coordinating daily with court and agency staff regarding audio requests and general customer support.
- Setting up, downloading/uploading audio files, and preparing jobs within our workflow system while coordinating with the transcription team.
- Maintaining a positive and supportive demeanor while managing multiple phone calls and emails daily.
- Collaborating with our accounts payable team to facilitate timely invoice payments.
- Offering administrative assistance in our office as needed.
We seek an enthusiastic, detail-oriented, organized, and self-motivated professional who meets the following criteria:
- Possesses a high school diploma or equivalent.
- Exhibits strong organizational skills and excellent verbal and written communication abilities.
- Demonstrates the ability to multitask and manage multiple project deadlines effectively.
- Is detail-oriented and capable of independent learning.
- Has intermediate computer skills, including familiarity with Microsoft Word, Outlook, databases, and accounting software.
- Adapts well to change and prioritizes client service.
- Knowledge of legal or courtroom terminology is advantageous.
- Can work from 9:00 AM to 5:30 PM, with some flexibility to accommodate client inquiries.
