Key Responsibilities

The role involves a variety of essential administrative and clerical duties aimed at facilitating the objectives and operations of the TRIO Student Support Services (SSS). Responsibilities include:

  • Providing general reception services, including managing inquiries both in-person and via central office voicemail.
  • Overseeing the program database and responding to general inquiries.
  • Assisting SSS staff and students as needed.
  • Monitoring and managing SSS program communications and email correspondence.
  • Ordering and maintaining supplies for staff and services.
  • Managing inventory effectively.
  • Handling all financial logistics for student events, including venue reservations, transportation arrangements, and preparing purchase orders for tickets.
  • Tracking and documenting receipts for expenditures.
  • Supervising the creation of promotional materials for SSS.
  • Ensuring the functionality of program technology, equipment, computers, software, and printers to support participant services.
  • Maintaining operational and part-time personnel budgets using Excel, which includes tracking expenditures, making budget recommendations to the director, and reconciling budget lines.

Work Environment

This position is situated within the Midlands Technical College Airport Campus.

Qualifications

Candidates must possess a Bachelor's degree with one year of relevant experience; or an Associate's degree with three years of related work experience; or a high school diploma with five years of relevant experience. Proficiency in typing at a corrected rate of 35-55 words per minute and basic computer operation skills are required.

Preferred Skills

Ideal candidates will have a Bachelor's degree with one year of experience or an Associate's degree with three years of experience in administrative or office management roles. Proficiency in budget and expense management using financial software such as Excel is preferred. Experience in managing database systems is also desirable. A cover letter demonstrating written communication skills may be requested, and candidates might be asked to showcase their skills as part of the selection process.
