POSITION OVERVIEW

The Part-Time Travel and Honoraria Coordinator is responsible for providing administrative support related to travel reimbursements and honoraria for the Department of Energy (DOE), Office of Science. This role entails making precise and economical travel arrangements for both domestic and international trips, applying comprehensive knowledge of Federal travel regulations, and ensuring timely processing of reimbursements and payments.

KEY RESPONSIBILITIES

The essential duties of this position include, but are not limited to:

  • Utilizing Concur software to arrange hotel accommodations and various transportation options in accordance with Federal guidelines, including managing changes in travel schedules.
  • Collaborating with clients and researchers from both the United States and overseas to fulfill travel needs.
  • Providing exceptional customer service while liaising with representatives from a significant Federal agency.
  • Assisting travelers in navigating Concur and completing the expense reimbursement process.
  • Initiating and processing honoraria payments for both domestic and international subject matter experts.
  • Responding promptly to high-priority requests for assistance, ensuring expedited action and resolution.
  • Offering travel support for various groups, including invitational, domestic, international, and special assignments as required.
  • Reviewing and interpreting travel regulations and policy updates, and communicating changes to office personnel.
  • Ensuring travel orders align with regulatory guidance and accurately reflect travelers' itineraries and entitlements.
  • Verifying compliance with Federal Travel Regulations (FTR) and departmental policies for all travel authorizations and expense reports.

QUALIFICATIONS

Candidates should possess a Bachelor's degree along with a minimum of five (5) years of relevant experience, or an equivalent combination of education and experience. A solid understanding of online travel systems, including Concur, and proficiency in Microsoft Office Suite is essential.

WORK ENVIRONMENT
