Warranty Administrator Job Description

Sonic Automotive is a Fortune 500 company and one of the largest automotive retailers in the country with over 120 dealerships nationwide. We are seeking a highly organized and detail-oriented Warranty Administrator to join our team at Mercedes Benz of Walnut Creek in Walnut Creek, CA.

Job Summary

The Warranty Administrator is responsible for recording and submitting warranty claims to the factory and/or distributor and reconciling them accordingly. This role requires strong analytical and problem-solving skills, as well as excellent communication and organizational abilities.

Key Responsibilities
  • Process warranty claims on a timely basis for each franchise or distributor.
  • Process all warranty paperwork to ensure proper documentation.
  • Verify criteria required by factory or distributor.
  • Reconcile all warranty receivables with payments through the appropriate accounting schedule.
  • Post credits on computer.
  • Resubmit all rejected claims promptly or receive authorization to write them off.
  • Follow up on payment of outstanding claims.
  • Track warranty parts by tagging with repair order number, date of replacement, and date on which part may be disposed.
  • Arrange for parts to be shipped to the factory or distributor, or to be scrapped.
  • File and maintain all service records as required by the warrantor.
  • Keep informed of all factory recalls and bulletins.
  • Assist with body shop warranty claims as needed.
  • Assist with the cashier and telephone operator duties as needed.
  • Assist with any clerical needs as directed by the fixed operations manager or the controller.
  • Maintain a professional appearance and a neat work area.
Requirements
  • Working knowledge of computers (MS Word, Excel, etc.)
  • Ability to multi-task and work in a fast-paced atmosphere.
  • High school diploma or GED.
  • Valid driver's license and a clean driving record.
  • All applicants must be authorized to work in the USA.
  • All applicants must be able to demonstrate ability to pass pre-employment testing to include background checks, MVR, drug test, and valid driver license.
