Key Responsibilities

Provides essential marketing support to the sales team to ensure effective execution of sales and marketing initiatives.

Delivers marketing assistance to the community in alignment with strategic marketing and business objectives. Employs sales processes, systems, and documentation to fulfill job responsibilities, track information, compile data and reports, and achieve community revenue targets. Offers administrative support to the Sales Department. Participates in daily sales meetings.Maintains daily communication with community sales leaders and other key associates regarding prospective move-ins. Utilizes sales systems to document pre-residency actions and facilitate communication.Acts as a liaison between new residents and the community by coordinating the move-in process efficiently and warmly, as needed. Ensures completion of necessary paperwork, including care plans, residence preparation, mover scheduling, and community support. Organizes pendants, keys, mailboxes, cable, and storage for new residents.Collaborates with maintenance and operations on unit turnover and keeps unit availability listings updated for the sales team. Works with community sales leaders to identify units ready for the sales pipeline.Assists community sales leaders in planning and executing events, including lead generation and advancement activities, while maintaining and organizing RSVP lists.Ensures the sales office is well-stocked with marketing materials and move-in packets. May request and order marketing resources through company systems.Represents the community and enhances visibility through participation in external events, professional groups, and community engagement as directed by the community sales leader. Leverages relevant community insights and research to assist in planning, coordinating, and implementing monthly prospect and/or referral source activities and events as outlined by the community marketing strategy and sales leader.May handle phone inquiries, serve as a backup for Sales, and log leads in the sales management system as per established protocols.Maintains the office's performance board and prepares data for weekly and monthly reports. Provides sales performance metrics to community sales leaders.Maintains a working knowledge of the lead management system and uses it to generate reports. Inputs sales and marketing activities promptly and according to system standards. Ensures accuracy of information entered into systems.

Qualifications

Education and Experience

  • High school diploma or General Education Degree (GED) required.
  • A minimum of one year of administrative experience required, preferably in the retirement, hospitality, or healthcare sectors with a strong emphasis on customer service.
  • Additional education may substitute for years of experience.

Certifications, Licenses, and Other Special Requirements None

Management/Decision Making Utilizes limited independent judgment to make decisions based on established guidelines. Resolves issues using standard procedures and knows when to escalate matters to a supervisor.

Knowledge and Skills Possesses a working knowledge of a skill or discipline requiring basic analytical ability. Understands the work environment and processes. Familiar with the organization. Ability to greet staff and visitors courteously. Knowledge of relevant regulations impacting service delivery. Ability to effectively listen and communicate verbally and in writing. Capable of managing time, tasks, and projects in a dynamic setting. Builds trust and acts with integrity in relationships. Assesses and understands customer expectations and needs. Works effectively with diverse personalities and treats individuals with dignity and respect. Proficient in operating personal computers and related software, including Microsoft Office applications. Ability to learn and operate the customer relationship database. Capable of accurate and efficient keyboarding.
