Job Summary

We are seeking a highly skilled and organized Administrative Coordinator to provide exceptional support to our Subsidiary President and Senior Leadership Team. This is a unique opportunity to work in a dynamic environment and contribute to the success of our organization.

Key Responsibilities
  • Provide administrative and secretarial support to the Subsidiary President and Senior Leadership Team, including typing, filing, and scheduling.
  • Perform financial record keeping, coordination of meetings and conferences, and obtain supplies as needed.
  • Coordinate direct mailings, work on special projects, and assemble highly confidential and sensitive information.
  • Deal with a diverse group of external callers and visitors, as well as internal contacts at all levels of the organization.
  • Plan, prioritize, and organize diversified workload, recommending changes in office practices or procedures as needed.
Requirements
  • Schedule and organize complex activities, such as meetings, travel, conferences, and department activities for all members of the department.
  • Perform desktop publishing and create visual presentations for the vice president.
  • Establish, develop, maintain, and update filing systems for the vice president and the department.
  • Organize and prioritize large volumes of information and calls.
  • Responsible for ordering office supplies and maintaining organization in the kitchen.
