Pritchard Industries is on the lookout for an Administrative Support Specialist to join our dynamic team. This role is essential in providing comprehensive support to our operations team, clients, and vendors through a diverse range of tasks. A background in accounting is highly advantageous.

Key Responsibilities:

  • Deliver administrative assistance to the Branch VP and the Operations team.
  • Execute clerical duties including the preparation of letters, memos, invoices, reports, and various documents.
  • Organize and participate in meetings on behalf of executives, documenting notes and minutes as necessary.
  • Handle office responsibilities such as maintaining contracts, bids, ordering supplies, and basic accounting tasks.
  • Prepare bid proposals, presentations, and budget communications.
  • Collaborate closely with the technical team to address all office IT concerns.
  • Possess prior knowledge of accounting functions, including Accounts Payable and Accounts Receivable.
  • Capable of invoicing for monthly and weekly work orders as required, with current processes being manual during a system upgrade.
  • Adept at processing large volumes of work order data with careful attention to detail, ensuring minimal data entry errors.
  • Maintain high standards of ethics, conduct, and adherence to organizational policies in all job-related activities.
  • Exhibit excellent command of the English language.
  • Thrive in a fast-paced environment, demonstrating the ability to prioritize multiple competing tasks and seek supervisory guidance when necessary.
  • Manage billing, filing, purchase orders, and checklist tracking.
  • Oversee scheduling, invoicing, accruals, and monthly closing reports.
  • A Bachelor’s degree is preferred but not mandatory.
  • Complete additional duties and service requests as assigned by the Accounting Manager.
  • Demonstrate proficiency in Microsoft Office (Excel, Word, Outlook), data entry, and Dynamic SL.
  • Experience in processing supply orders is essential.
  • Possess a positive attitude, eagerness to learn, commitment to results, and a strong team-oriented mindset.
  • Perform other related duties as assigned.
Required Skills and Abilities:
  • Exceptional verbal and written communication skills.
  • Strong organizational skills with meticulous attention to detail.
  • Proficient time management skills with a proven ability to meet deadlines.
  • Ability to excel in a high-paced and occasionally stressful environment.
  • In-depth knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Typing speed of at least 40 words per minute.
  • Proficient in Microsoft Office Suite with the capability to learn new software quickly.
Education and Experience:
  • High school diploma is required.
  • An Associate's degree in Business Administration or a related field is preferred but not required.
  • A minimum of four years of relevant experience is required.
Physical Requirements:
  • Ability to sit for extended periods while working at a computer.
  • Must be able to lift up to 15 pounds occasionally.

Salary: $50k - $60k annually
