Key Responsibilities

  • Maintain and manage submittal logs and track all submittals.
  • Document and oversee communication with clients, design teams, and subcontractors.
  • Initiate, manage, and monitor subcontract agreements.
  • Support Project Engineers with processing purchase orders, change orders, and billing tasks.
  • Ensure accurate coding of all invoices.
  • Assist Project Engineers in preparing monthly payment applications.
  • Support Superintendents in maintaining safety logs.
  • Track and manage all material purchases.
  • Order necessary supplies for the jobsite office.
  • Handle various email communications and prepare appropriate responses.
  • Assist Project Managers with meetings, schedules, documentation, contracts, invoices, and other administrative tasks as required.
  • Prepare and manage construction documents while tracking all written and verbal communications related to the project.
  • Address inquiries from subcontractors, vendors, owners, and design teams.

Qualifications and Skills

  • A minimum of 2 years of administrative experience.
  • Experience in the construction industry, particularly on job sites.
  • Proficient in MS Office applications.
  • Strong attention to detail.
  • Ability to manage multiple tasks effectively.
  • Positive and proactive attitude.
  • Excellent verbal, written, and typing skills.
  • A high school diploma is required; a bachelor's degree is preferred.
