Key Responsibilities

  • Maintain and update submittal logs
  • Manage correspondence with clients, design teams, and subcontractors
  • Initiate and oversee subcontract processes
  • Support Project Engineers with purchase orders, change orders, and billing procedures
  • Code and process all invoices accurately
  • Assist Project Engineers with monthly payment applications
  • Collaborate with Superintendents on safety documentation
  • Monitor and track material purchases
  • Order necessary supplies for the jobsite office
  • Organize and respond to various email communications
  • Support Project Managers with meetings, schedules, documents, contracts, and invoices as required
  • Assist in the preparation of construction documents and track all communications related to the project
  • Address inquiries from subcontractors, vendors, owners, and design teams

Qualifications

  • A minimum of 2 years of administrative experience
  • Experience in the construction industry, particularly on job sites
  • Proficient in MS Office applications
  • Strong attention to detail
  • Ability to manage multiple tasks effectively
  • Positive and proactive attitude
  • Excellent verbal and written communication skills
  • High school diploma required; Bachelor's degree preferred
