Key Responsibilities

  • Maintain and update submittal logs to ensure timely processing
  • Manage communication with clients, design teams, and subcontractors
  • Initiate and oversee the subcontracting process
  • Support Project Engineers with procurement orders, change requests, and invoicing
  • Code and process all incoming invoices
  • Assist Project Engineers in preparing monthly payment applications
  • Collaborate with Superintendents to maintain safety documentation
  • Monitor and record all material acquisitions
  • Order necessary supplies for the project office
  • Organize and respond to various email communications
  • Support Project Managers with scheduling, documentation, contracts, and other essential paperwork
  • Prepare and manage construction documents while tracking all forms of communication related to the project
  • Address inquiries from subcontractors, vendors, owners, and design teams

Qualifications

  • A minimum of 2 years of administrative experience
  • Experience in the construction industry, particularly on-site
  • Proficient in Microsoft Office Suite
  • Strong attention to detail
  • Able to manage multiple tasks effectively
  • Possess a positive and proactive attitude
  • Excellent verbal and written communication skills
  • A high school diploma is required; a Bachelor's degree is preferred
