Position Overview
The Division of Management Services (DMS) is actively seeking candidates for the role of Executive Staff Assistant. This position will be based at our central office.
Role Responsibilities
This role is essential in guiding and supporting the administrative operations and services for the entire DMS. Key responsibilities include:
- Coordinating and facilitating special initiatives and administrative tasks.
- Developing and maintaining databases and tracking systems.
- Managing electronic calendars and ensuring timely and accurate processing of communications.
- Drafting documents as required and providing comprehensive administrative support for the Division.
This position involves interaction with various public officials, including members of the Secretary's Office, legislators, bureau/office directors, division administrators, and local officials.
Compensation and Benefits
The starting salary for this position ranges from $42,952 to $79,144 annually, complemented by a robust benefits package. Salary will be determined in accordance with the Compensation Plan and applicable regulations. A 12-month probationary period is mandatory.

Job Requirements
Applicants must possess legal authorization to work in the United States. The Department of Corrections will conduct background checks to assess any potential job-related convictions. New employees will be subject to fingerprinting.
Pre-employment drug screening may be required for certain positions. Candidates must successfully pass the screening as a condition of employment.
Qualifications
Minimum qualifications include:
- Experience providing administrative support to management, including organizing meetings, setting agendas, taking minutes, scheduling, travel arrangements, correspondence, and document proofreading.
- Ability to prepare written reports and communication materials.
- Proficiency in computer applications such as Microsoft Office Suite (Outlook, Word, Excel) for data management and report creation.
Preferred qualifications include:
- Experience liaising with stakeholders.
- Skills in compiling, analyzing, and presenting information and data.
- Proven ability to organize and manage projects effectively.
