Position Overview

We are currently seeking to fill the role of Executive Staff Assistant within the Division of Management Services (DMS). This position will be based at our central office.

Role Responsibilities

The Executive Staff Assistant will provide leadership and support for the administrative operations and services across the DMS. Key responsibilities include:

  • Coordinating and facilitating special projects and administrative tasks.
  • Developing and maintaining databases and tracking systems.
  • Managing electronic calendars and ensuring timely processing of communications.
  • Drafting documents as required and delivering comprehensive administrative support for the Division.

This role involves interaction with various public officials, including members of the Secretary's Office, legislators, bureau and office directors, division administrators, wardens, superintendents, and representatives from other state agencies and local entities.

Compensation Package

The starting salary for this position ranges from $42,952 to $79,144 annually, complemented by a robust benefits package. Compensation will be determined in accordance with the established Compensation Plan and relevant administrative codes. A 12-month probationary period is mandatory.

Employment Details

Candidates must be legally authorized to work in the United States at the time of application. The Department of Corrections will conduct background checks on applicants prior to selection to assess any potential relevance of past convictions to the role. New employees will also undergo fingerprinting as part of the hiring process.

Pre-employment drug screening may be required for this position. Candidates who receive a job offer contingent upon passing a drug screen must comply to be considered for employment.

Qualifications

Minimum qualifications include:

  • Experience providing administrative support to management, including organizing meetings, setting agendas, taking minutes, scheduling, travel arrangements, correspondence, and document proofreading.
  • Proficiency in preparing written reports and communication materials.
  • Familiarity with computer applications such as Microsoft Office Suite for data management and report creation.

Preferred qualifications include:

  • Experience acting as a liaison with stakeholders.
  • Skills in compiling, analyzing, and presenting information and data.
  • Proven ability to organize and manage projects effectively.
