About the Role

We are seeking a highly skilled and experienced Portfolio Manager to join our team at HOATalent. As a Portfolio Manager, you will be responsible for overseeing the general operation of our community association portfolio and providing supervision to staff and contracted service providers.

Key Responsibilities
  • Community Association Oversight: Oversee the general operation of the community association portfolio and provide supervision to staff and contracted service providers, as applicable.
  • Communication: Regularly communicate with the Board regarding community issues.
  • Rules and Regulations: Enforce the Rules and Regulations of the Association as outlined in the governing documents.
  • Meeting Preparation: Prepare, or oversee the preparation of, notices and meeting packets for all Association and Board meetings in a timely manner.
  • Board Meetings: Attend monthly Board Meetings, Annual Meetings, and any Special Meetings as contracted.
  • Proposal Management: Prepare Requests for Proposals (RFPs) and secure proposals for day-to-day operations, providing recommendations to the Boards for consideration.
  • Unit/Lot Management: Oversee and ensure accuracy in individual items for each unit/lot.
  • Budgeting: Assist in preparing the annual budget and updating reserve study projects for all communities in the portfolio.
  • Expenditure Approval: Approve all expenditures and seek Board approval for amounts exceeding predetermined thresholds.
  • Owner Support: Respond to owner inquiries and requests promptly and in accordance with company standards.
  • Decision Making: Manage the decision-making process effectively, working with short and long-range objectives for the associations.
  • Emergency Response: Handle after-hours emergency calls as scheduled.
Requirements
  • Customer Service: Deliver superior customer service.
  • Community Association Knowledge: Knowledge of community association inspection processes.
  • Association Board Understanding: Understanding of the role of the association board of directors and effective communication with association ownership.
  • Business Correspondence: Proficient in typical business correspondence (grammar, structure, punctuation, spelling, etc.).
  • Conflict Resolution: Proficient in conflict resolution techniques.
  • Work Culture: Ability to maintain a positive work culture in line with HOATalent's values and beliefs.
  • Time Management: Strong time management and time-critical organizational skills.
  • Leadership and Interpersonal Skills: Excellent leadership and interpersonal skills.
Preferred Qualifications
  • Association Management Experience: 2 years or more of Association Management experience (Preferred).
  • Certifications: CMCA, AMS, or PCAM certification is preferred; please specify if applicable.
