Key Responsibilities:

Administrative Duties:
  • Oversee the executive's calendar, coordinating meetings, appointments, and travel logistics.
  • Draft and refine emails, reports, presentations, and other necessary documents.
  • Manage incoming and outgoing communications, ensuring prompt and appropriate responses.
  • Organize meeting logistics, prepare agendas, and document minutes as required.
  • Assist in the preparation of reports and materials for stakeholder meetings and presentations.

Project Coordination:
  • Monitor and manage critical projects, ensuring adherence to deadlines.
  • Support the executive with project coordination, liaising with internal teams and external partners.
  • Conduct research and compile relevant information to aid in strategic decision-making.

Communication and Relationship Management:
  • Act as a liaison between the executive and internal/external stakeholders.
  • Facilitate effective communication between the executive and staff members.
  • Foster strong relationships with employees, partners, clients, and board members.

Operational Support:
  • Provide operational assistance as needed, ensuring the smooth execution of ongoing projects.
  • Follow up on key initiatives, ensuring alignment among program personnel.
  • Assist in daily operations and personnel management tasks when necessary.

Cross-Departmental Collaboration:
  • Work collaboratively with HR, IT, Accounting, Legal, and Technical teams to resolve issues and enhance processes.
  • Support in addressing cross-departmental challenges, ensuring alignment with executive objectives.

Technology Proficiency:
  • Utilize software and information systems to streamline operations and improve productivity.
  • Quickly adapt to new software tools and systems to support executive functions.

Contract Management:
  • Assist in managing government contracts, ensuring compliance with relevant regulations.
  • Provide hands-on support in the preparation and submission of proposals and reports.

Confidentiality:
  • Handle sensitive information with utmost discretion.
  • Manage special projects that may involve confidential data.

Travel and Event Planning:
  • Coordinate domestic and international travel arrangements, including itineraries and accommodations.
  • Plan and organize events, meetings, and conferences as required.

Qualifications:
Education:

Bachelor's degree is required.


Experience:

Minimum of 3 years in an executive support role or similar capacity; a technical background in physics or engineering is advantageous.

Demonstrated ability to manage complex schedules and communications effectively.


Skills:
  • Exceptional organizational and time management capabilities.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Familiarity with government contract accounting is highly desirable.
  • Ability to work independently and anticipate needs.

  • Expertise in office administration and operational support.
  • Adept at learning new software and information systems quickly.
  • Fluency in English is required; proficiency in German is a plus.
