Contract Overview:

This position is a contract role with the potential for transition into a permanent position. The work schedule is set for 40 hours per week.

POSITION SUMMARY:

The primary focus of this role is to provide support in HR coordination, which includes client engagement, reporting, HR processes and systems, assisting with the staffing process, offering guidance to clients, collaborating with the HR team, and delivering project assistance. The individual in this role will also manage basic administrative duties such as scheduling, processing expense reports, supporting travel arrangements, and facilitating meetings. The HR Coordinator is responsible for anticipating and addressing employee needs while resolving inquiries related to daily HR processes, policies, and system questions, escalating issues to management when necessary. Furthermore, this role promotes compliance with company policies and procedures.

KEY RESPONSIBILITIES:

  • Act as the primary point of contact for HR-related inquiries.
  • Facilitate the onboarding and offboarding processes for employees.
  • Conduct administrative project tasks, including research and data compilation from various sources, and prepare reports and summaries.
  • Provide system support (e.g., HRIS platforms) and handle data requests and analysis.
  • Assist the HR team and clients in fulfilling information requests and preparing analytical reports.
  • Support HR processes and related communications, including data entry, report generation, and sending notifications.
  • Maintain the HR intranet site and ensure the HR office area is organized.
  • Manage HR data and records accurately.
  • Serve as the first point of contact for client inquiries regarding programs or policies.
  • Review and enhance processes to improve efficiency and value for clients.

PROCESS SUPPORT:

  • Process HR data to support promotions, terminations, transfers, and other organizational changes.
  • Act as a liaison between employees and service providers to ensure smooth execution of HR transactions.
  • Respond to requests for HRIS report generation, compilation, and analysis.
  • Build and maintain relationships with employees to understand their needs and challenges.
  • Serve as the first line of contact for client inquiries regarding policies, directing employees to available resources.
  • Collaborate with the HR team and service providers to manage immigration and work visa processes.
  • Undertake any additional operational or administrative tasks as required.
  • Engage in special projects as assigned.

QUALIFICATIONS:

Education:

  • Bachelor's degree or equivalent.
  • Must possess a degree in Human Resources or HR/APHR certification.

EXPERIENCE AND SKILLS:

  • A minimum of 2-4 years of experience in a dynamic, systems-oriented organization is required. Experience in an HR Assistant or Coordinator role is preferred, along with familiarity with HRIS and report writing.
  • Preferred experience in a healthcare or pharmaceutical setting.
  • Understanding of employee relations policies and processes, including performance management and conflict resolution.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to maintain professionalism, confidentiality, and demonstrate sound ethics and judgment.
  • Proficient in Excel, Outlook, PowerPoint, SharePoint, as well as HRIS and applicant tracking systems.
  • Skilled in data analysis and presenting results through charts and graphs.
  • Team-oriented with a collaborative mindset.
  • Familiarity with virtual communication tools such as Webex, GoToMeeting, and Zoom.
  • Exemplary judgment in handling confidential and sensitive information.
  • Able to follow directions and execute tasks independently while also guiding their own work.
  • Administrative experience, including calendar management, expense processing, and travel coordination.
  • High responsiveness to inquiries and requests.
  • Ensure compliance with relevant labor laws and legal requirements.
