We are currently seeking a full-time HR Coordinator to become an integral part of our expanding team. The successful candidate will be results-oriented and possess a solid understanding of human resources.

The HR Coordinator will deliver administrative support to the human resources division as required, which includes welcoming visitors and clients, maintaining records, managing files, and conducting audits. This role is pivotal in ensuring that all human resources activities adhere to local, state, and federal regulations.

KEY RESPONSIBILITIES:

Human Resources Functions:

  • Oversee the filing system for both physical and digital records (for active and terminated employees), with a focus on electronic management and retention.
  • Conduct audits of employee records to ensure compliance with professional licenses and certifications.
  • Review employee files (both digital and physical) for inconsistencies.
  • Assist in coordinating and managing all pre-boarding tasks for new hires, including drafting offer letters and preparing necessary documentation.
  • Collect and verify new hire documents for completeness and accuracy.
  • Initiate background checks and drug screening processes, ensuring compliance with hiring standards.
  • Verify and maintain the required licenses and certifications as outlined in job descriptions, ensuring they are current and valid.
  • Coordinate and schedule onboarding sessions via virtual platforms for new employees.
  • Launch onboarding processes through Paylocity for new hires.
  • Notify and collaborate with the IT department to establish technology access and workstations for new hires.
  • Facilitate communication with staffing agencies and hiring managers regarding temporary staffing requirements.
  • Manage agreements with vocational institutions and oversee student placements.

Front Desk Responsibilities:

  • Oversee all front desk operations and serve as the primary point of contact for visitors and clients.
  • Handle incoming calls, assess the nature of each call, and direct callers to the appropriate personnel or department.
  • Assist with the collection and distribution of mail and packages.
  • Perform clerical tasks such as photocopying, mailing, scanning, and reserving conference rooms.

QUALIFICATIONS:

  • Ability to handle sensitive and confidential information with discretion.
  • Basic knowledge of human resources practices and procedures.
  • Strong administrative and organizational capabilities.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills.
  • Capacity to adapt and acquire new skills rapidly.
  • Exceptional attention to detail.
  • Demonstrated time management skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel).

EDUCATION AND EXPERIENCE:

  • High school diploma or equivalent.
  • A minimum of two (2) years of relevant experience.

WORK SCHEDULE:

  • This is an on-site position.
  • Standard work hours are Monday through Friday, from 8:00 AM to 5:00 PM.

Compensation will be determined based on the applicant's education, experience, knowledge, skills, and abilities, as well as internal equity and market alignment.
