This includes welcoming visitors and clients, maintaining records, organizing files, and conducting audits. The position is integral in ensuring compliance with all relevant local, state, and federal regulations within the HR functions.

KEY RESPONSIBILITIES:

Human Resources Management

  • Oversee the organization of both physical and digital filing systems for employee records, ensuring a systematic approach to retention and accessibility.
  • Conduct audits of employee records to verify compliance with necessary professional licenses and certifications.
  • Review employee files for accuracy and address any discrepancies found.
  • Assist in coordinating all pre-boarding activities for new hires, including drafting offer letters and preparing necessary documentation.
  • Collect and verify new hire documents for completeness and accuracy.
  • Initiate background checks and drug screening processes, ensuring adherence to hiring standards.
  • Verify that all required licenses and certifications are current and valid.
  • Schedule and coordinate onboarding sessions for new employees.
  • Launch onboarding processes through the designated HR platform.
  • Collaborate with the IT department to arrange technology access and workstation setups for new hires.
  • Facilitate communication between staffing agencies and hiring managers regarding temporary staffing requirements.
  • Manage agreements with vocational institutions for student placements.

Reception Duties

  • Oversee front desk operations, serving as the initial point of contact for visitors and clients.
  • Handle incoming calls, assessing the nature of each call and directing it to the appropriate personnel.
  • Assist with the management of mail and package deliveries.
  • Perform clerical tasks such as photocopying, scanning, and emailing documents, as well as reserving meeting spaces.

QUALIFICATIONS:

  • Ability to handle sensitive and confidential information with discretion.
  • Basic knowledge of HR principles and practices.
  • Strong organizational and administrative skills.
  • Excellent verbal and written communication abilities.
  • Strong interpersonal skills and the ability to work collaboratively.

EDUCATIONAL BACKGROUND:

WORK ENVIRONMENT:

  • This is an on-site position.
  • Standard working hours are Monday through Friday, from 8:00 AM to 5:00 PM.
