The position plays a crucial role in maintaining effective communication between the facility and its clients, ensuring that all client needs are met while adhering to established policies and regulations.

Key Responsibilities

Responsibilities include but are not limited to:
  • Assisting the Human Resources Department with daily administrative functions, project management, and research activities, including benefits enrollment and insurance inquiries.
  • Preparing correspondence, reports, and documentation in a timely and precise manner.
  • Handling incoming calls for the department with professionalism and courtesy.
  • Providing customer service to employees and applicants by addressing inquiries and requests.
  • Managing the onboarding and offboarding processes through relevant HR systems.
  • Ensuring compliance with I-9 documentation and maintaining organized filing systems.
  • Updating and maintaining employee directories as changes occur.
  • Supporting recruitment initiatives, including job fairs and interview scheduling.
  • Assisting with new hire orientations and maintaining employee records.
  • Conducting audits of personnel files to ensure all necessary documentation is collected.
  • Completing employment verification requests for current and former employees.
  • Participating in Human Resources training and events as required.
  • Submitting purchase orders and managing office supply inventory.
  • Generating various reports using HRIS and spreadsheet software as needed.
  • Performing additional duties as assigned.
Qualifications

To be successful in this role, candidates should possess the following qualifications:
  • Strong written and verbal communication skills for effective interaction with internal and external stakeholders.
  • Ability to prioritize tasks and manage time efficiently.
  • Organizational skills with attention to detail and quality control.
  • Commitment to maintaining confidentiality and professionalism in all Human Resources matters.
Education and Experience
  • Completion of some college coursework in Business Administration, Human Resources, or a related field is preferred.
  • A minimum of two years of experience in an administrative support role is preferred.
  • Prior experience in a Human Resources environment is required.
  • Familiarity with employment laws and practices is advantageous.
Skills and Competencies
  • Excellent interpersonal skills with the ability to adapt to changing situations.
  • Capability to thrive in a fast-paced environment with frequent interruptions.
Technical Proficiency
  • Proficient in standard office software and HRIS systems.
  • Experience with ADP and/or Workday systems is preferred.
Additional Information

Candidates should be prepared to work flexible hours, including evenings and weekends, as necessary.
