We are currently seeking a full-time HR Coordinator to support our expanding team. The ideal candidate should be proactive and well-versed in human resources practices.

The HR Coordinator plays a crucial role in providing administrative assistance to the human resources department, which includes welcoming visitors and clients, maintaining records, organizing files, and conducting audits. This position is integral in ensuring compliance with all human resources functions in accordance with local, state, and federal regulations.

KEY RESPONSIBILITIES:

Human Resources:
  • Maintain an organized filing system for both physical and electronic records (active and terminated employees), focusing on electronic retention.
  • Conduct audits of employee records to ensure compliance with professional licenses and certifications.
  • Review employee files for any discrepancies.
  • Assist in coordinating and managing all pre-boarding tasks for new hires, including drafting offer letters and preparing necessary documents.
  • Collect and verify new hire documents for completeness and accuracy.
  • Initiate pre-employment background checks and drug screening orders, ensuring compliance with hiring standards.
  • Obtain and verify required licenses and certifications as outlined in job descriptions.
  • Coordinate and schedule onboarding sessions for new hires.
  • Launch Paylocity onboarding for new employees.
  • Coordinate with the IT department to set up technology access and workstations for new hires.
  • Facilitate communication with staffing agencies and hiring managers regarding temporary staffing needs.
  • Manage agreements with vocational schools and oversee student placements.
Front Desk:
  • Oversee all front desk operations and serve as the primary point of contact for incoming visitors and clients.
  • Handle incoming calls, assess the nature of each call, and direct callers to the appropriate personnel or department.
  • Assist with mail and package handling.
  • Perform clerical functions such as photocopying, mailing, scanning, and reserving conference rooms.
REQUIRED SKILLS AND QUALIFICATIONS:
  • Ability to manage sensitive and confidential information.
  • Basic understanding of human resources practices and procedures.
  • Strong administrative and organizational skills.
  • Excellent verbal and written communication abilities.
  • Strong interpersonal skills.

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
EDUCATION AND EXPERIENCE:
  • High school diploma or equivalent.
  • Two (2) years of relevant experience in human resources or a related field.
WORK SCHEDULE:
  • This is an on-site position.
  • Standard working hours are Monday through Friday, from 8:00 AM to 5:00 PM.
