Job Overview

We are looking for an Administrative Support Specialist to join our dedicated team at Tenacity Solutions LLC, providing essential assistance to the US Department of Veterans Affairs.

Key Responsibilities:

  • Assess incoming correspondence to determine the appropriate handling based on specific program requirements.
  • Classify and direct claims or related documents according to established program guidelines, ensuring efficient and precise processing.
  • Utilize advanced scanning technology to convert physical documents into digital formats, selecting the appropriate job types for effective routing.
  • Review scanning outcomes for accuracy and maintain digital records in an imaging database for easy retrieval and printing.
  • Organize scanning priorities to align with departmental deadlines and objectives.
  • Conduct Wand Scanning/Batching by manually scanning claim identifiers with a barcode reader, compiling summary lists, verifying document counts, and sorting claims by receipt date for further processing.
  • Manage EEV Mail Intake by identifying and electronically processing documents for individuals pending enrollment, applying specific barcodes as required.
  • Oversee Bad Address processing by categorizing undeliverable mail, removing duplicates, and marking invalid addresses in the central database, adhering to a first-in, first-out approach.

Qualifications:

  • High school diploma or equivalent is required; an Associate's degree in a relevant field is preferred.
  • A minimum of 2 years of experience in clerical or administrative roles, particularly in document processing and mail management.
  • Proficient in operating high-speed scanning equipment and managing digital imaging workflows.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong verbal and written communication abilities.
  • Capable of working independently while managing multiple tasks effectively.
  • Demonstrated problem-solving skills to address challenges related to document processing and routing.
  • Familiarity with VA policies and procedures is advantageous.

Work Environment:

  • This position is based at the Veteran Health Administration Center.
  • Work hours are Monday through Friday, excluding federal holidays.
  • No travel is required for this role.

Security Requirements:

  • Must be a US Citizen.
  • Must be eligible to obtain and maintain a security clearance as mandated by the VA.

Training Expectations:

  • All personnel are required to complete mandatory training courses before accessing VA information and systems.
  • Continuous training and certification are necessary to remain compliant with VA policies and federal regulations.
