Job Overview

Position Summary: The Clinical Appointment Specialist, under the guidance of the Clinical Scheduling Supervisor, is responsible for managing incoming calls, coordinating patient examinations, and addressing customer service inquiries. This role requires ensuring adequate time between appointments to facilitate the completion of medical evaluations and procedures by physicians. Additional clerical responsibilities may include maintaining patient databases, faxing and scanning medical histories, answering telephones, and updating patient records. It is essential to maintain professionalism and composure when interacting with distressed patients. You may also need to direct patients to other staff members or physicians and be knowledgeable about processing necessary referral documentation.

Qualifications:

Education and Experience:

  • High school diploma or equivalent.
  • 2 – 3 years of relevant experience.
  • Proficient in general computer skills, including word processing, spreadsheets, and email applications.
  • Detail-oriented with strong analytical and organizational capabilities.
  • Excellent interpersonal skills, fostering teamwork.
  • Outstanding verbal and written communication skills for effective interaction with clients and management.

Job Knowledge:

  • Effective communication skills for clear conversations over the phone and in person.
  • Strong organizational and time management abilities to handle multiple tasks efficiently.
  • Attention to detail for identifying verification and eligibility issues, and communicating challenges to management.
  • Technological proficiency in using word processing and spreadsheet software for data tracking.
  • Ability to gather and interpret relevant data.
  • Capability to work independently in a dynamic environment.
Key Responsibilities:
  • Professionally greet patients both in person and via phone.
  • Assist with various administrative tasks, including copying, scanning, faxing, and emailing.
  • Maintain confidentiality of sensitive patient and company information.
  • Handle incoming calls efficiently.
  • Ensure the phone system is transferred to the answering service at the end of the day.
  • Support special billing projects as needed.
  • Provide training for new team members.
  • Meet and exceed departmental goals and objectives.
  • Perform duties in accordance with established departmental policies and procedures.
  • Attend work, meetings, and professional obligations punctually.
  • Participate in administrative staff meetings and relevant seminars.
  • Assist in evaluating departmental reports, decisions, and outcomes against established goals.
  • Propose new strategies, policies, and procedures to enhance departmental efficiency and service quality.
  • Take ownership of special projects, conduct data research, and implement detailed action plans.
  • Actively engage in problem identification and resolution, coordinating solutions among relevant parties.
  • Perform additional related duties as assigned.
  • Adhere to corporate, departmental, and HR policies and procedures.
Physical Requirements:
  • Visual and auditory acuity necessary for effective communication with colleagues and clients.
  • Ability to read written documentation and communicate verbally with staff and customers.
  • Proficient in using various office equipment, including PCs, copiers, faxes, and multi-line telephones.
  • Exposure to general indoor working conditions, with occasional light lifting (up to 20 pounds) and some travel as required.
