Job Summary

GAS Global is seeking a highly organized and detail-oriented Administrative Coordinator to provide administrative support to our project team. As a key member of our team, you will be responsible for managing and supporting recruitment strategies, executing administrative and HR clerical functions, and providing exceptional customer service.

Key Responsibilities
  • Recruitment Support
    • Manage and support recruitment strategies and execution, including workforce planning, staffing schedules, and hiring.
    • Complete other administrative and HR clerical functions as needed for the project.
  • Administrative Support
    • Set up and conduct weekly orientations to lead effective onboarding processes, including paperwork, applications, documentation, and maintaining employment files.
    • Assist with new hire onboarding processes, forms, and documentation.
    • Complete I-9s for craft hires and staff transfers (as applicable).
    • Order and distribute craft hiring/benefit packets.
    • Sorting and distribution of pay stubs.
  • HR Support
    • Update HR and business reporting on an ongoing basis.
    • Maintain required employment posters and affirmative action binder.
  • Administrative Tasks
    • Provide clerical and administrative support for multiple departments.
    • Greet visitors, organize and arrange meetings, report generation, data entry, schedule conference rooms, and set up catered meals.
    • Prepare outgoing mail and correspondence, including emails and faxes.
    • Provide reception support.
    • Coordinates and arranges meetings, prepares meeting agendas, assists with setup/cleanup, and creates PowerPoint presentations as requested.
    • Acts as the first point of contact for employee questions regarding policies, procedures, and resources on the project.
    • Manages Form I-9 and E-Verify processes for all US new hires while ensuring compliance with employment authorization requirements.
    • Upload new documents and maintain/create templates.
    • Fills out and submits expense reports, ensuring all transactions are accounted for.
    Requirements
    • At least 1 year of administrative/clerical experience, construction industry experience a plus.
    • Bilingual in English and Spanish is required.
    • Proficient in Microsoft Office.
    • Knowledge and experience in SharePoint is a plus.
    • Strong professional interpersonal, written, and verbal communication skills.
    • Able to take direction and provide timely feedback on progress of tasks.
    • Exceptional attention to detail, organization, and active listening skills.
    • Ability to manage multiple tasks effectively.
    • Regular, reliable attendance.
    • Work productively and meet deadlines timely.
    • Communicate and interact effectively and professionally with supervisors, employees, and others individually or in a team environment.
    • Work during normal operating hours to organize and complete work within given deadlines.
    Education

High school diploma or general education degree (GED)
