Position Overview


The Administrative Support Specialist is tasked with delivering exceptional customer service to employees, management, vendors, and visitors at Casa Palmera.

This role also involves assisting with various projects, initiatives, and activities as assigned.

Key Responsibilities


1. Welcome all visitors in the main lobby and inform relevant personnel of their arrival; ensure guests sign in and receive identification badges as required.

2. Manage and route all incoming phone calls and voicemails appropriately; take and relay messages for corporate staff.

3. Provide callers and visitors with essential company information, including directions, location details, and contact information.

4. Accept and sign for all corporate deliveries, and prepare packaging and shipping labels for outgoing shipments as needed.

5. Retrieve, open, sort, and distribute all corporate and facility mail/email promptly and accurately.

6. Maintain and organize the office supply cabinet for all departments, including ordering, receiving, stocking, and distributing supplies as necessary.

7. Oversee the provisions and upkeep of the corporate breakroom and kitchen areas, including ordering and stocking snacks, beverages, and cleaning supplies; ensure cleanliness and organization.

8. Request key cards and coordinate building repairs with property management as required.

9. Ensure that all Suite doors are secured and locked at the end of each day.

10. Assist in arranging breakfast and lunch meetings, including setup and cleanup.

11. Manage conference room schedules by coordinating meetings and appointments.

12. Keep conference rooms tidy and organized.

13. Provide clerical support, including photocopying, faxing, filing, and collating.


14. Perform additional administrative tasks as assigned.


This is a full-time role with a standard work schedule of Monday through Friday.
