The Software Asset Management Specialist will offer comprehensive support to the IT department regarding the complete software asset lifecycle.

This role involves collaboration with the IT Service Management Manager, the Software Asset Management Process Owner, and various IT stakeholders to establish and oversee best practices, processes, standards, and policies.

The Specialist possesses a deep understanding of Software Asset Management processes and the methodologies necessary to guide the organization towards achieving critical KPIs and overarching objectives of IT Operations.

This position will lead the strategic development of priorities, business-aligned processes, and Software Asset Management/ITSM initiatives, advocating for process integrity and customer experience, while establishing best practices, standards, policies, and effective data collection and validation methods.

The outcomes will empower the organization to meet or surpass goals and metrics for diverse business and IT strategies.

Minimum Work Experience:

  • 3+ years of combined experience in Software Asset Management Support or Leadership Role within an IT operations, managed services, or service delivery environment.
  • Proficiency with ServiceNow Software Asset Management Professional (SAMPro).
Process Leadership:
Develop integrated and systematic processes to support related Software Asset Management activities. Enhance the organization's capabilities in Software Asset Management processes and methodologies. Plan, manage, and coordinate the complete lifecycle in a highly interoperable IT environment. Empower stakeholders to effectively utilize and leverage software processes.

Maintenance:

Provide technical assistance and problem resolution for customer inquiries regarding new and existing data analytics, policies, processes, standards, and best practices related to Software Asset Management.


Communication:
Build partnerships with data analytics consumers to understand business requirements. Conduct training on provided reports and dashboards, policies, processes, standards, and best practices.

Key Responsibilities:

Process Ownership and Management:

  • Define, implement, and manage the Software Asset Management processes in alignment with industry best practices and organizational policies.
  • Ensure consistent execution of the Software Asset Management process across the organization.
  • Continuously enhance the Software Asset Management process through regular reviews and updates.

Software Compliance and Governance:

  • Maintain and oversee software license compliance, ensuring adherence to vendor agreements and minimizing compliance risks.
  • Develop and enforce software usage policies, procedures, and standards.

Lifecycle Management:

  • Maintain an accurate and up-to-date inventory of all software assets.
  • Oversee the entire lifecycle of software assets from acquisition to disposal, ensuring proper documentation and tracking.

Vendor and Contract Management:

  • Manage relationships with software vendors and service providers.
  • Develop processes and insights into contracts (new and existing).

Financial Management:

  • Analyze and report on software asset expenditures, identifying opportunities for cost savings and optimization.

Reporting and Analytics:

  • Generate regular reports on software asset status, compliance, and financial metrics.
  • Provide insights and recommendations to senior management based on data analysis.
Minimum Formal Education Required for this Position:

  • Bachelor's degree in computer science, Data Analytics, Business Management, Accounting, Finance, Process Improvement, or a related field of study, or equivalent job experience.
Certifications:

Required:

  • Information Technology Infrastructure Library (ITIL) 3 or 4 Certification preferred, or equivalent experience.

Preferred:

  • ServiceNow Certified Implementation Specialist (CIS) - Software Asset Management.
  • ServiceNow Certified System Administrator (CSA).
