Job Overview

Position Title: Scheduler

The primary responsibility of the Scheduler is to deliver outstanding customer service by managing communication with our Doctors and Staff, coordinating the scheduling of all new incoming cases, re-scheduling existing cases, and overseeing the outsourcing of cases to ensure accurate and efficient scheduling.

Work Schedule: Full-time, 40 hours per week, Monday through Friday.

Compensation: $19-$22 per hour, based on experience.

Key Responsibilities:

  • Manage the scheduling of all new incoming cases, including implants and rework cases.
  • Coordinate the scheduling of IOS cases, Appliances, and Diagnostics.
  • Exceed customer expectations by fostering long-term relationships with clients to retain and expand our customer base.
  • Communicate with dental offices to inform customers of changes to shipping dates and verify case information via phone or email.
  • Maintain accurate records of discussions and correspondence with customers.
  • Proactively suggest continuous process improvements to management.
  • Update case files and tracking systems to reflect changes in shipping dates.
  • Monitor production flow and understand the impact of production issues on shipping timelines; adjust shipping dates as necessary.
  • Ensure timely completion of rush cases by coordinating with Management and Technical Advisors.
  • Inform the next shift of critical production updates.
  • Ensure cases include RX photos; print RX photos and organize materials as needed.
  • Proactively follow up on hold cases.
  • Print or reprint prescriptions from the tracking system as required.
  • Manage missing case dates and incomplete accounts.
  • Assist with invoicing corrections and end-of-month statements.
  • Review daily invoices, make correction notes, and collaborate with accounting for accurate customer adjustments.
  • Provide administrative support, including verifying and scheduling shipping dates, scanning cases, and acting as a liaison to other departments.
  • Perform additional duties and projects as required by management.

Physical Requirements:

  • Ability to sit for extended periods.
  • Ability to stand for prolonged periods.
  • Frequent bending or stooping.
  • Must be able to lift, push, and carry up to 15 lbs.
  • Visual acuity to ensure accuracy and thoroughness of work.
  • Repetitive motions involving wrists, hands, and fingers.
  • Ability to use hand tools with manual dexterity.

Work Environment:

No travel required; work is conducted in a lab/office setting.
