POSITION PURPOSE:
The Front Desk Assistant plays a crucial role in delivering outstanding customer service and administrative support to all visitors. This position involves collaboration with team members, managing special projects, and performing various reception duties. Additionally, the role encompasses supporting community facilities and maintenance needs, including event setup and teardown, which may require physical activity alongside standard office tasks.
KEY RESPONSIBILITIES:
- Warmly greet visitors and ensure a positive experience for all guests and residents.
- Handle phone inquiries with guidance from community documents and resources.
- Uphold and enforce community rules and standards.
- Assist in managing activity schedules and identify potential scheduling conflicts.
- Distribute activity schedules and respond to resident inquiries regarding events.
- Participate in community meetings and training sessions.
- Prepare and maintain various community documents.
- Coordinate basic emergency vendor communications in the absence of management.
- Generate reports related to access devices and community operations.
- Provide administrative support as directed by management.
- Assist with event setup and teardown as needed.
- Maintain records related to ownership and community activities.
- Receive and distribute supplies for the community center.
- Ensure the reception area and common spaces are tidy and welcoming.
- Conduct daily inspections of assigned areas and report maintenance issues.
QUALIFICATIONS:
- High School Diploma or equivalent.
- Proficient in Microsoft Outlook, Excel, and Word; intermediate skills preferred.
- Strong conflict resolution and multitasking abilities.
- Exceptional customer service skills with attention to detail.
- Team-oriented with a willingness to learn company processes.
- Dependable and adaptable with a professional demeanor.
ESSENTIAL FUNCTIONS:
- Utilize standard office equipment effectively.
- Be able to lift and relocate items weighing up to 30 pounds.
- Maintain a stationary position for extended periods.
SUPERVISORY RESPONSIBILITIES:
- This position does not supervise others.
SCHEDULE:
- Flexible hours based on operational needs.
