Craig Bradford Associates is a well-established and reputable financial services firm, providing a comprehensive range of solutions in finance, taxation, estate planning, insurance, wealth management, and merchant banking.

The Executive Operations Specialist plays a pivotal role in supporting the Regional Managing Principal by managing various tasks and responsibilities. This position is essential for ensuring the smooth daily operations of the office, offering administrative, clerical, and time management assistance, while also providing support to other executives as necessary.

Key Responsibilities:

  • Handles a wide array of administrative functions, including managing a highly active calendar, preparing expense reports, drafting confidential correspondence, and arranging intricate travel itineraries.
  • Prioritizes and addresses incoming issues and concerns directed to the Regional Managing Principal, especially those of a sensitive nature.
  • Collaborates closely with the Regional Managing Principal to keep them informed of upcoming obligations and responsibilities.
  • Effectively manages conflicting priorities; addresses matters promptly and follows through on projects to ensure successful completion, often under tight deadlines.
  • Assists in organizing the agenda for senior management meetings and retreats.
  • Oversees all logistical arrangements for executive meetings, including room setups and catering requirements.
  • Manages the daily functions of the office.
  • Welcomes and interacts with incoming visitors, clients, and guests.
  • Engages with internal personnel at all levels.
  • Provides assistance with various HR-related tasks and other duties as assigned.

Qualifications and Skills:

  • Confident and composed individual with exceptional communication abilities.
  • Proficient in prioritizing multiple tasks, meeting tight deadlines, and following directions effectively.
  • Able to coordinate various schedules and produce precise work despite frequent interruptions.
  • Capable of performing assigned tasks with minimal supervision.
  • Strong attention to detail and accuracy is essential.
  • Adaptable and able to thrive in a fast-paced environment.
  • Must maintain confidentiality and demonstrate integrity at all times.
  • Ability to cultivate strong professional relationships with stakeholders, including staff and external partners.
  • Proactive problem-solving skills with strong decision-making capabilities.
  • High emotional intelligence.
  • Ability to work effectively both independently and as part of a team.
  • Advanced proficiency in Microsoft Office Suite.

Education and Experience:

  • A minimum of 3 years of experience supporting Executive and C-Suite professionals is required; 5 years is preferred.
  • A Bachelor's Degree is preferred.
  • Experience in handling sensitive and confidential information is essential.
