Role Overview:

The Senior Facilities Operations Coordinator is responsible for overseeing the allocation and prioritization of Preventive Maintenance tasks and Critical Work Orders among facilities staff. This role ensures that all operations conducted during the shift are executed in a safe and compliant manner. The Coordinator will meticulously review all documentation generated during the shift for accuracy, clarity, and adherence to current Good Manufacturing Practices (cGMP), including PM Task Sheets, Work Orders, and Logbooks.

Key Responsibilities:

  • Evaluate the equipment Preventive Maintenance schedule and recommend enhancements to the Senior Maintenance Mechanic or Facilities Manager.
  • Generate Purchase Order Requisitions and keep the Facilities Manager informed about their status.
  • Collaborate with off-site Finance teams to streamline and address all financial inquiries.
  • Manage the site security photo ID and access badge system.
  • Draft and review Change Controls, CAPA Reports, and Audit Findings.
  • Communicate ongoing activities, issues, and concerns regarding equipment, systems, and personnel to the Facilities Manager.
  • Coordinate system and equipment shutdowns for maintenance and repairs in collaboration with Production and Facilities Management.
  • Assist the Facilities Manager in developing training programs for staff.
  • Provide insights for employee performance evaluations for team members under your supervision to the Senior Maintenance Mechanic.
  • Oversee in-house projects as assigned by the Facilities Manager.
  • Participate in various teams and attend assigned meetings.
  • Coordinate maintenance activities during scheduled outages.
  • Create and maintain departmental metrics through charts, graphs, and presentations.
  • Perform additional duties as directed by the Facilities Manager.

Experience and Qualifications:

  • Strong familiarity with site Computerized Maintenance Management Systems (CMMS), specifically Blue Mountain.
  • Proficient in Microsoft Office Suite (Excel, Word, Visio, PowerPoint).
  • Excellent interpersonal and customer service skills.
  • General computer proficiency.
  • Ability to work independently, collaboratively, or under direct supervision.
  • Knowledge of FDA and ISO standards in a manufacturing or laboratory setting is advantageous.

Educational Background:

  • A minimum of a high school diploma or GED; an associate degree is preferred.
  • Must possess a valid driver's license.

Preferred Qualifications:

  • At least six years of experience in facilities coordination.
  • Capability to develop reliability reports to identify potential future issues.
  • Strong communication (oral and written), problem-solving, leadership, and negotiation skills are desirable.
  • Ability to work autonomously or as part of a team with minimal guidance.
