Position Overview

The Utility Compliance Coordinator plays a crucial role in assisting the Director of Compliance & Utilities Systems. This position involves managing various aspects related to licensing, permitting, and utility oversight, including billing analysis, insurance administration, claims management, and documentation organization for private utility systems. The role also encompasses monitoring and reporting on utility systems, ensuring alignment with the company’s objectives and core values.

Key Responsibilities

  • Maintain and track compliance data using spreadsheets.
  • Analyze monthly utility invoices and coordinate credit requests with utility providers.
  • Support community managers with utility-related inquiries.
  • Assist in the renewal of licenses and submission of permit applications.
  • Extract and analyze data from accounting software for invoice management.
  • Access online tracking systems to retrieve water meter data.
  • Provide recommendations on utility management issues.
  • Communicate updates regarding incident reports, claims, and insurance matters with field staff.
  • Utilize various software systems and web applications effectively.
  • Work from the Support Center at least three days per week.
  • Be available for flexible hours, including nights and weekends, as required.
  • Perform additional duties as assigned by management.

Supervisory Role

This position does not include supervisory responsibilities.

Qualifications

  • Associate's Degree (AA) or equivalent from a two-year college or technical school, or six months to one year of relevant experience and/or training, or a combination of education and experience.
  • Valid driver’s license and a clean driving record are required.
  • Proficiency in computer applications, including Accounting Software, Contract Management Systems, Inventory Software, Microsoft Office Suite, and Project Management Software.
  • Reliable transportation to work is necessary.
  • Must maintain an active personal mobile phone.
  • Team-oriented with a strong work ethic and excellent interpersonal skills.
  • Demonstrated analytical, organizational, and problem-solving abilities with a keen attention to detail.
  • Strong oral and written communication skills are essential.
  • Proficiency in Microsoft Excel is required.
  • Experience in utility billing is preferred.

Physical Requirements and Work Environment

  • Occasional standing and walking may be required.
  • Primarily seated work with continuous hand and finger dexterity.
  • Ability to communicate effectively in a quiet to moderate noise environment.
  • Occasional lifting or moving of items over 20 pounds may be necessary.
