We are in search of an individual who is dedicated to assisting colleagues, team members, and the individuals we support throughout their daily interactions. The Medical Scheduling Coordinator plays a vital role within the customer care team, ensuring that clients are efficiently connected with the appropriate providers and services.

Compensation:

The initial pay for this role is set at $17.50 per hour, determined by non-discriminatory factors such as skills and experience.

Role Responsibilities:

Below is a summary of the primary responsibilities and qualifications for this position:

  • Answer incoming calls promptly and professionally
  • Assess caller needs accurately by verifying identity and call purpose
  • Determine scheduling requirements by reviewing electronic health records
  • Utilize the scheduling system to arrange appointments for clients with providers
  • Coordinate transportation services for clients as necessary
  • Monitor voicemail and inbox for scheduling follow-ups
  • Notify clinical staff of scheduling updates for clients as needed
  • Follow up on tasks such as rescheduling missed appointments
  • Update information in electronic health records as required
  • Maintain compliance with policies, procedures, and HIPAA standards
  • Ensure high standards of customer service in all interactions
  • Keep up-to-date with agency resources for effective call handling
  • Provide support for other customer care functions as needed
  • Perform additional related duties as assigned

Qualifications:

Required:

  • High School Diploma or GED
  • At least 1 year of experience in an office environment
  • Commitment to delivering exceptional customer service in a diverse setting
  • Proficiency in data entry, word processing, and telephone communication
  • Ability to think proactively and take initiative
  • Discretion and judgment in handling sensitive information
  • Collaborative mindset with strong relationship-building skills
  • Commitment to fostering an inclusive environment
  • Valid and unrestricted Driver's License
  • Access to reliable transportation with appropriate insurance

Preferred:

  • Experience in a medical office environment
  • Familiarity with behavioral health and substance use disorders
  • Proficiency in Microsoft Office applications
  • Experience with electronic health records (EHRs)
  • Bilingual capabilities
