Customer Intake Coordinator

The Role:As an Intake Specialist at Paul Davis Restoration, you will play a crucial role in enhancing the customer experience. Your dedication to active listening, empathy, and care will be vital in ensuring a smooth process for our esteemed clients. Your meticulous management of job files will guarantee precise and thorough documentation, allowing our dedicated teams to address customer needs promptly and professionally.
As the initial point of contact for our clients, your outstanding customer service abilities will shine as you create a friendly and inviting atmosphere. Your genuine passion for helping others will foster trust and confidence in our services. Additionally, you will be a key participant in our after-hours on-call rotation, ensuring timely responses and steadfast support for our clients.
Key Responsibilities:- Customer Service: Represent Paul Davis Restoration professionally as the first point of contact through various communication channels, ensuring exceptional service for our valued clients.
- New Loss Intake: Accurately intake new losses, create detailed job files, and efficiently assign necessary participants to guarantee prompt and extraordinary service delivery.
- After Hours Intake: Engage in the on-call rotation to communicate with clients, intake new jobs, and dispatch the after-hours team as needed, ensuring timely support outside regular business hours.
- Customer Feedback: Collaborate in managing customer feedback surveys, online reviews, and social media interactions, effectively tracking feedback and ensuring timely resolution of customer concerns.
- High school diploma and/or equivalent.
- A minimum of 2 years of experience in a customer service role.
- Associate's degree (2-year) preferred but not mandatory.
- Commitment to upholding the core values, vision, and mission of Paul Davis.
- Professional, courteous, empathetic, and exceptional communication skills in phone, email, and in-person interactions.
- Willingness to participate in the after-hours rotation for job intake and dispatching.
- Excellent written and verbal communication skills, with a typing speed of 50+ words per minute.
- Proficiency in basic computer skills and Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Strong ability to work productively, stay organized, and maintain professionalism under pressure.
- Resourceful, adaptable, detail-oriented, and able to anticipate needs.
- Openness to receiving training, coaching, and regular feedback.
