Position Title: Administrative Assistant – Operations

Reporting To: Head of Operations Department

Classification: Hourly, Non-exempt

Role Summary:

The Administrative Assistant will play a crucial role in supporting the Operations Department. This position encompasses a variety of responsibilities, including overseeing the performance of operational teams, analyzing employee productivity, and managing sensitive administrative tasks.

Key Responsibilities:

  • Execute complex and confidential administrative tasks to ensure seamless operations within the department.
  • Draft correspondence and documentation as needed, including memos and reports, while engaging in administrative activities such as creating detailed spreadsheet tracking reports, graphs, and charts.
  • Prioritize tasks within assigned departments to ensure timely completion of projects.
  • Handle inquiries from insurance providers and patients effectively.
  • Conduct thorough analysis of data to identify trends and recommend proactive measures.
  • Compile various confidential reports for the department, utilizing advanced software tools.
  • Communicate with Client Managers regarding deadlines, process issues, and employee assignments.
  • Manage the calendar and tasks for the Head of Operations.
  • Sort, deliver, and distribute incoming mail.
  • Assist the Head of Operations with facilities management tasks.
  • Perform additional duties as required.

Qualifications:

  • High school diploma or equivalent is required.
  • A minimum of two (2) years of experience in a similar role supporting upper management.
  • Experience in the healthcare or medical field is preferred.
  • Typing speed of 40 words per minute.
  • Proficient in MS Office applications, including Word, Excel, and PowerPoint.
  • Strong organizational skills with a keen attention to detail.
  • Ability to manage multiple tasks and meet deadlines effectively.
  • Excellent verbal and written communication skills.

Physical Requirements:

Must be able to sit, talk, and hear for extended periods; occasional standing, walking, pushing/pulling, bending, stooping, kneeling, and reaching may be required. Frequent repetitive hand motions including fingering, grasping, and handling are necessary. Ability to read both handwritten and typed documents on paper and/or computer screens. Must be able to lift or carry objects weighing up to 20 lbs.
