Role Summary:
The Administrative Assistant plays a crucial role in supporting the Head of the Operations Department. This position encompasses a variety of responsibilities, including oversight of operational departments, monitoring employee performance, analyzing data trends, and executing other confidential administrative tasks.
Key Responsibilities:
- Execute complex and confidential administrative tasks to ensure the seamless operation of the assigned department.
- Draft correspondence and documents as required, including memos and reports, and engage in administrative functions such as creating detailed spreadsheet tracking reports, graphs, and charts.
- Manage production priorities within assigned departments to ensure timely completion of tasks.
- Handle inquiries from insurance carriers and patients effectively.
- Conduct thorough analysis of data with an emphasis on proactive measures.
- Generate various confidential departmental reports using advanced software tools.
- Communicate with Client Managers regarding deadlines, process issues, and employee assignments.
- Maintain the calendar and task list for the Head of Operations.
- Receive, sort, and distribute incoming mail.
- Assist the Head of Operations with facilities management tasks.
- Perform additional duties as assigned.
Qualifications:
- High school diploma or equivalent required.
- Minimum of two (2) years of experience in a similar role supporting upper management.
- Prior experience in healthcare or medical settings is preferred.
- Typing speed of 40 words per minute.
- Proficient in MS Office applications, including Word, Excel, and PowerPoint.
- Strong organizational skills with a keen attention to detail.
- Ability to manage multiple tasks and meet deadlines while prioritizing projects.
- Excellent verbal and written communication skills.
Physical Requirements:
Must be able to sit, talk, and hear for extended periods; stand, walk, push/pull, bend, stoop, kneel, and reach occasionally. Frequent repetitive hand motions including grasping and handling are required. Ability to read handwritten and typed documents on paper and/or computer screens. Must be able to lift or carry objects weighing up to 20 lbs.
