Job Overview

Position Title: Senior Administrative Coordinator

In this critical role, you will deliver top-tier administrative assistance and facilitate the seamless execution of executive responsibilities. Work Schedule: Full-time position, Monday through Friday, with standard hours. Flexibility may be necessary based on executive requirements and special projects. Hybrid work model available.

Compensation: Competitive hourly rate, commensurate with experience.


Key Responsibilities:

  • Office Administration: Manage office visitors, phone inquiries, and correspondence for designated executives. Exercise discretion in handling communications with industry leaders, clients, and other stakeholders.
  • Documentation Management: Draft and oversee business correspondence including letters, memos, and reports. Prepare routine communications and periodic reports for management review.
  • Calendar Coordination: Maintain and proactively manage the appointment schedules for assigned executives, providing insights on upcoming events and meetings.
  • Meeting Facilitation: Prepare presentations, agendas, meeting minutes, and other necessary documentation. Ensure timely preparation and review of materials.
  • Record Keeping: Establish and maintain confidential files and records, including corporate documents and financial information.
  • Project Oversight: Collaborate independently or with teams on special projects, manage project documentation, and prepare summary reports on project progress.
  • Financial Monitoring: Track and report on budgets, process vendor invoices, and ensure accurate financial coding.
  • Event Planning: Organize and coordinate executive meetings both on-site and off-site, including travel arrangements as needed.
  • Collaboration: Connect with other administrative professionals within the organization to enhance task efficiency and ensure coverage for key activities.
  • Notary Services: May provide notary public services for the organization.

Qualifications:

  1. High school diploma required; a minimum of 4-6 years of experience in administrative support for executive management is preferred. A college degree or certification in a business-related field is advantageous.
  2. Exceptional interpersonal, written, and verbal communication skills with a proven ability to handle confidential matters with discretion.
  3. Outstanding organizational, prioritization, and problem-solving abilities.
  4. Strong attention to detail and a demonstrated capacity to multitask effectively.
  5. Proficiency in MS Office Suite, including Word, Excel, PowerPoint, Publisher, and Outlook.
  6. Ability to meet deadlines under pressure and adapt to changing priorities.
  7. Excellent public relations skills with both internal and external stakeholders.
  8. Professional demeanor and the ability to project a positive image consistently.

Working Environment: This role is primarily office-based, requiring a commitment to maintaining high levels of confidentiality and discretion.

Physical Demands:

  • Frequent standing, sitting, and walking.
  • Occasional lifting of up to 25 pounds.
  • Tasks may include bending, reaching, and other physical activities.
  • Regular use of hands for typing and other tasks.
  • Ability to manage frequent interruptions and adjust priorities as necessary.
