Job Overview

Position Title: Administrative Assistant – Operations

Reporting To: Head of Operations Department

Classification: Hourly, Non-exempt

Role Summary:

The Administrative Assistant will play a vital role in supporting the Operations Department. Responsibilities encompass assisting in the oversight of various operational units, tracking employee performance, analyzing data trends, and managing other confidential administrative tasks.

Key Responsibilities:

  • Execute complex and confidential administrative tasks to ensure seamless departmental operations.
  • Draft correspondence and documentation as required, including memos and reports, and engage in administrative activities such as creating detailed spreadsheet tracking reports, graphs, and charts.
  • Prioritize workflows within assigned departments to ensure timely completion of tasks.
  • Handle inquiries from insurance carriers and patients effectively.
  • Conduct critical data analysis with an emphasis on proactive measures.
  • Generate various confidential departmental reports using advanced software tools.
  • Communicate with Client Managers regarding missed deadlines, process issues, and employee assignments.
  • Manage the calendar and tasks for the Head of Operations.
  • Open, sort, and distribute incoming mail.
  • Assist the Head of Operations with facilities management tasks.
  • Perform additional duties as assigned.

Qualifications:

  • High school diploma or equivalent.
  • Minimum of two (2) years of experience in a similar role supporting upper management.
  • Prior experience in healthcare or medical settings is preferred.
  • Typing speed of 40 words per minute.
  • Proficient in MS Office applications, including Word, Excel, and PowerPoint.
  • Strong organizational skills with a keen attention to detail.
  • Able to manage multiple tasks and meet deadlines while prioritizing projects.
  • Excellent verbal and written communication skills.

Physical Requirements:

Ability to sit, talk, and hear for extended periods; stand, walk, push/pull, bend, stoop, kneel, and reach occasionally. Frequent repetitive hand motions including fingering, grasping, and handling. Capacity to read handwritten and typed documents on paper and/or computer screens. Ability to lift or carry objects weighing up to 20 lbs.
