The salary of the selected candidate will be determined based on various factors, including departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above range represents a reasonable estimate of possible compensation at the time of posting.

Position Overview

The Human Resources & Faculty Affairs Coordinator plays a crucial role in managing the daily human resources, academic affairs, and payroll operations within the Department of Medicine. This position also provides vital support to the Medicine HR core team and its divisions.

Key Responsibilities

Recruitment and Onboarding:

  • Facilitate recruitment processes: obtaining approvals, crafting job descriptions, and advertising positions on relevant job platforms.
  • Oversee applicant management, initiate reference checks, and coordinate pre-employment background checks.
  • Lead the onboarding process for staff, faculty, researchers, and students, ensuring a seamless integration experience.
  • Communicate effectively with new hires and departments to guarantee a smooth onboarding journey.
  • Handle short-term visitor and student processing efficiently.

Payroll and Process Management:

  • Oversee the collection of timesheets for hourly employees and manage bi-weekly payroll processing.
  • Ensure all changes to university and hospital appointments are processed accurately, including leaves and resignations.
  • Manage employment-related changes in the HR systems, ensuring timely updates and compliance.
  • Collaborate with various stakeholders to resolve issues and ensure efficient processing of HR transactions.

Compliance and Immigration:

  • Assist in preparing payroll and tracking time off, ensuring compliance with submission deadlines.
  • Coordinate annual reappointments for faculty and fellows, ensuring adherence to compliance requirements.
  • Support immigration processes for faculty and staff, including visa sponsorship and documentation preparation.

Systems and Project Management:

  • Utilize HR ticketing systems to manage requests and maintain effective communication with the HR core team.
  • Maintain and update employee records, ensuring all documentation is accurately filed.
  • Manage special projects as assigned and perform related duties as necessary.

Minimum Qualifications

  • Bachelor's degree or equivalent experience, with a minimum of three years in related roles.
  • Experience in human resources or administrative functions.
  • Exceptional organizational and multitasking abilities, with a focus on prioritization.
  • Ability to work independently under pressure, demonstrating sound judgment.
  • High level of professionalism and discretion in all interactions.
  • Strong analytical and problem-solving skills.
  • Proficiency in Microsoft Office, particularly in databases and advanced spreadsheets.

Preferred Qualifications

  • Bachelor's degree in Human Resources or a related discipline.
  • Familiarity with university policies and operational procedures.

Other Requirements

  • Successful completion of relevant compliance and systems training.
