Position Summary

We are in search of a detail-oriented and personable Office Administrative Coordinator. In this role, you will support the loan production team, both in-house and remotely, including sales and processing departments, as well as various management teams within a high-performing corporate environment.

Your responsibilities will encompass a broad range of tasks to ensure efficient office operations and facilitate effective communication.

Additionally, you will be expected to take initiative on projects during periods of lighter workflow.


Key Responsibilities

Support Loan Production Team (90% of time):
Assist designated staff with their administrative and organizational requirements.


Generate requested reports utilizing various vendor platforms such as SAM, BCR, FEMA, LEXISNEXIS, SBA (for SBSS credit), PACER, and others.

Compose explanatory notes as necessary based on vendor report findings.

Request tax return transcripts from vendors and verify against submitted tax returns.

Input data into software systems.

Process Flood Determination requests for the loan production team.

Upload loan documentation into document management software and provide project support across CDC Small Business Finance as needed.

Front Desk Backup Coverage (Remote/In-Person):
Serve as the primary backup for breaks and lunch coverage for the front desk administration.

Provide in-person coverage for scheduled or unscheduled absences.

Handle all incoming calls using a multi-line phone system, determining the purpose of calls and directing them to the appropriate personnel or department.

Maintain and update general voicemail greetings and relay messages to staff members.

Assist on-site visitors by identifying the nature of their business and notifying the relevant personnel.

Monitor visitor access and issue access badges, ensuring they are returned to the front desk.

Manage office calendars, including conference room bookings and other scheduling needs.

Unlock and secure all suite doors at designated times.

Ensure the front desk, conference rooms, and supply areas are kept in a presentable condition.

Perform other miscellaneous duties and projects as assigned by management.

Requirements


A minimum of 2 years of experience as an Office Administrative professional, demonstrating the ability to manage a busy reception area and office environment with multiple responsibilities.


This position is hybrid, requiring on-site presence during planned or unplanned absences of primary front desk personnel or as business needs dictate.

Flexibility in working hours between 8:00 a.m. - 5:00 p.m. and/or 8:30 a.m. - 5:30 p.m. is expected based on business requirements.

Proven experience in answering and directing calls using a multi-line phone system.

Strong multitasking and time-management skills, with the ability to prioritize effectively.

Resourcefulness and proactivity in addressing issues as they arise.

Demonstrated critical thinking and problem-solving abilities.

Experience with multi-function printers, including scanning and emailing documents, as well as configuring copy settings.

Proficiency in office productivity software such as MS Outlook, Word, Excel, and Google Workspace.

A High School Diploma is required.

Benefits

The salary range for this position is competitive and includes eligibility for an annual incentive/commission plan.

This role is remote/hybrid and qualifies for an annual incentive.
