Role Overview

As an Assistant Facilities Manager, you will report to the Facilities Manager and collaborate with the overall Facilities Team. Your primary responsibility will be to oversee a variety of soft services and provide essential support to ensure the seamless operation of the site.

Key Responsibilities

  • Lead the team delivering first-line soft services, including reception, mail operations, meetings & events, cleaning, waste & recycling, vending & food services.
  • Oversee the monitoring and maintenance of office equipment and supplies.
  • Maintain regular communication and meetings with relevant vendors to discuss issues, recommendations, and cost estimates.
  • Conduct weekly inspections with the vendor cleaning manager to ensure cleaning quality standards are upheld.
  • Manage Trouble Ticket (Remedy) requests, promptly addressing internal customer queries in accordance with service level agreements.
  • Address daily health & safety matters, maintaining regular meetings and records for fire and safety teams, drills, equipment, and training.
  • Support travel and visitor arrangements by liaising with approved hotels and assisting global travel & hotel managers in gathering and disseminating up-to-date information.
  • Assist in organizing internal and external client events.
  • Ensure the quality of conferencing facilities is maintained.
  • Oversee food and kitchen facilities, providing guidance to housekeepers.
  • Raise purchase orders as necessary.
  • Manage Wiki pages and other communication channels for the site.
  • Provide coverage for the Building Operations Engineer / Facilities Manager as needed.
  • Perform other duties and tasks as assigned.

Qualifications

  • Experience in a high-profile corporate environment.
  • Background in reception or hospitality.
  • Educational qualifications at diploma or degree level.
  • Strong problem-solving abilities and decision-making skills.
  • Excellent written and verbal communication skills.
  • Proficiency in spreadsheet and word processing applications.
  • A customer-focused mindset with strong interpersonal skills.
  • Assertiveness and attention to detail.
