Position Overview:
This role is situated within the Office of the DoD Chief Information Officer.
The ideal candidate will be a self-motivated and organized individual capable of executing tasks independently while thriving in a collaborative team environment.
Key responsibilities encompass calendar management, tracking deadlines, prioritizing workloads, handling communications, and managing correspondence to support the mission of the Office of the Secretary of Defense (OSD).
Key Responsibilities:
- Assist government personnel with administrative frameworks, document management, and preparation of briefing materials.
- Oversee calendar management and adjust schedules to accommodate urgent changes or higher priority tasks.
- Perform operational duties related to human resources, IT, security, and facilities management, including answering and directing phone calls and welcoming guests.
- Facilitate the onboarding process for new personnel, including managing necessary documentation.
- Coordinate and manage all government-furnished equipment for new hires.
- Ensure access to secure facilities and manage sensitive document disposal.
- Address IT and network-related issues as they arise.
- Support the off-boarding process for departing personnel.
Review and route correspondence documents to the appropriate offices or personnel for response through the Correspondence and Task Management System (CATMS).
Develop, monitor, and maintain an internal tracking system for correspondence, memos, letters, and other documents and projects received.
Qualifications:
- Bachelor's degree with a minimum of 5 years of relevant experience, or a high school diploma with at least 9 years of related experience.
- Top Secret clearance with SCI required at the time of hire.
- Expert-level proficiency in the English language for the preparation of all forms of correspondence, including emails and memos.
- Demonstrated experience supporting operations within an Office of the Secretary of Defense (OSD)/Joint Staff/Interagency environment.
- Familiarity with the structure and missions of the OSD and its components.
- Highly skilled in Microsoft Office Suite applications, particularly Word, PowerPoint, and Teams.
- Proven ability to thrive in a fast-paced team environment, adapt to rapidly changing requirements, and manage multiple tasks effectively.
