Supervision and Reporting Structure

This position reports to Project Managers, the Director of Construction, and the ownership team. Responsibilities include overseeing and managing the estimating process, with minimal administrative support.

Key Responsibilities:

Pre-Bid Activities:

  • Participate in pre-bid meetings to discuss bid/RFP specifics.
  • Create a list of subcontractors and suppliers tailored to the project requirements.
  • Send out invitations to bid.
  • Follow up with subcontractors to confirm their participation.
  • Analyze plans and specifications.
  • Develop an estimate template in ProEst based on the reviewed documents.
  • Collaborate with the assigned Project Manager and Director of Construction to evaluate the project.
  • Attend pre-bid meetings and site walkthroughs.
  • Compile and submit pre-bid RFIs, ensuring responses and addendums are distributed to relevant parties.
  • Organize meetings with the Project Manager and Director of Construction to finalize the ProEst template and clarification letters.
  • Coordinate with marketing to ensure a smooth bid day process.
  • Work with the Project Manager to establish the overall job schedule and phasing.

Bid Day Responsibilities:

  • Coordinate with the team, including marketing, Project Manager, Director of Construction, and ownership, for a successful bid day.
  • Review all subcontractor bids for completeness and identify any exclusions, reaching out for clarification as necessary.
  • Set up a conference room to track bids and input pricing into ProEst.
  • Conduct a final review with the team to discuss costs and fees before submission.
  • Submit the final bid to the owner/design team.

Post-Bid Duties:

  • Follow up on any requested information from the owner/design team.
  • Update the bid database with current pricing for future reference.
  • If awarded the project, facilitate a handoff meeting with the Project Manager and Director of Construction.
  • Assist in the subcontractor buyout process.

General Responsibilities:

  • Maintain an up-to-date subcontractor database.
  • Continuously seek new qualified subcontractors and suppliers.
  • Engage with new subcontractors and suppliers in emerging work regions.
  • Keep a cost database for budgeting purposes.
