PROJECT MANAGER ROLE DESCRIPTION

Reporting Structure

This position reports directly to the Director of Construction and is evaluated by firm leadership. The role encompasses overseeing the estimating, preconstruction, construction, and post-construction phases of projects, with minimal administrative assistance.

Key Responsibilities include, but are not limited to:

Estimating:

Pre-bid Activities

  • Participate in pre-bid meetings to discuss project details with stakeholders.
  • Assist in developing a list of subcontractors and suppliers tailored to project specifications.
  • Review project plans and specifications thoroughly.
  • Collaborate with the Estimator to create a comprehensive estimate template.
  • Engage in discussions with the Estimator and Director of Construction regarding project requirements.
  • Attend pre-bid walkthroughs and meetings.
  • Evaluate pre-bid RFIs before submission to clients.
  • Coordinate with the Estimator and Director of Construction to finalize bid templates.
  • Establish a detailed job schedule and determine general conditions.

Bid Day Responsibilities

  • Ensure organization and teamwork during the bid process.
  • Review subcontractor bids for completeness and address any missing information.
  • Conduct a final review of the bid with the team to confirm costs and fees.

Post-Bid Activities

  • Assist the Estimator with follow-up inquiries from clients.
  • Facilitate project handoff meetings with the Estimator and Director of Construction.
  • Support the Assistant Project Manager in subcontractor buyout processes.

Preconstruction Duties

  • Oversee the Assistant Project Manager's progress on job setup and budget management.
  • Manage subcontractor buyouts and purchase orders.
  • Participate in project handoff meetings.
  • Monitor preconstruction checklists and ensure project documentation is organized.
  • Conduct preconstruction meetings with clients and internal teams.

Construction Responsibilities

  • Ensure a safe and organized worksite in collaboration with the Superintendent.
  • Track and manage RFIs effectively.
  • Procure necessary materials and equipment.
  • Prepare and manage change orders accurately.
  • Regularly schedule subcontractor and project meetings.
  • Create and distribute weekly project reports.
  • Conduct job site visits to monitor progress.
  • Assist in documenting any deviations from construction documents.
  • Manage project schedules and budgets diligently.
  • Communicate effectively with project teams and stakeholders.

Project Closeout Duties

  • Ensure all final inspections and paperwork are completed.
  • Manage the final punch list and ensure all tasks are completed.
  • Assist in compiling all necessary documentation for the Operation & Maintenance Manual.
  • Conduct a final cost review and project audit.
