Leadership and Reporting Structure

This role reports directly to Project Managers, the Director of Construction, and the firm's ownership. Responsibilities include overseeing and managing the estimating process, requiring a high degree of autonomy with minimal administrative support.

Key Responsibilities

Pre-Bid Activities

  • Participate in pre-bid meetings to discuss bid and RFP specifics.
  • Create a list of potential subcontractors and suppliers tailored to the project type.
  • Send out invitations to bid.
  • Engage with subcontractors to confirm their interest in bidding.
  • Review project plans and specifications thoroughly.
  • Develop an estimate template using ProEst based on project documents.
  • Collaborate with the assigned Project Manager and Director of Construction to discuss project details.
  • Attend pre-bid meetings and site walkthroughs as necessary.
  • Compile and submit pre-bid RFIs, distributing responses and addendums to relevant parties.
  • Coordinate meetings to review the estimate template and clarify any discrepancies.
  • Work with marketing to ensure a smooth bid day process.
  • Collaborate with the Project Manager to establish the overall project schedule and phases.

Bid Day Responsibilities

  • Coordinate with the team, including marketing, PM, and ownership, for a successful bid day.
  • Review all subcontractor bids for completeness and identify any exclusions.
  • Set up a conference room to track bids and input pricing into ProEst.
  • Conduct a final review of the bid with the team to finalize costs.
  • Submit the completed bid to the owner or design team.

Post-Bid Duties

  • Follow up on any information requested by the owner or design team.
  • Update the bid database with current pricing for future reference.
  • If awarded the project, facilitate a handoff meeting with the Project Manager and Director of Construction.
  • Assist in the subcontractor buyout process.

General Responsibilities

  • Maintain an up-to-date database of subcontractor contacts.
  • Continuously seek out new qualified subcontractors and suppliers.
  • Solicit new subcontractors and suppliers in emerging work regions.
  • Maintain a cost database for budgeting purposes.
