POSITION SUMMARY

Under the general supervision of the Director of Nursing, the Administrative Support Specialist will perform clerical duties and manage communication to facilitate the efficient operation of resident care within the unit.

This role involves interaction with healthcare professionals, various departments, and external organizations while ensuring confidentiality is maintained. The position demands a proactive approach, innovative thinking, and the ability to operate independently in a fast-paced and evolving environment.

PERFORMANCE STANDARDS

  • Adheres to infection control protocols, OSHA regulations, and safety guidelines.
  • Accurately prepares documentation for Nursing Home Residents, ensuring all forms and records are complete.
  • Digitally archives all new admission documents into the Matrix system upon entry.
  • Informs relevant staff members of new admissions to the facility.
  • Creates chart labels utilizing a color-coding system.
  • Generates daily assignment sheets for Care Partners for each shift.
  • Alerts the Supervisor of any absences and may assist in scheduling staff for the Care Center, as well as finding replacements for last-minute call-ins.
  • Correctly organizes and digitizes medical records into patient/resident files (including lab and x-ray reports).
  • Inputs new lab, x-ray requests, EKG, Respiratory Therapy, and Therapy Services into the CPSI system, retrieving and distributing results to the appropriate personnel.
  • Transcribes necessary information from worksheets to the resident's Matrix chart (including vital signs, allergies, intake/output, weights, and meal percentages).
  • Coordinates transportation for appointments and notifies the Director of Nursing if transportation arrangements cannot be made.
  • Handles telephone and intercom communications, directing information to the appropriate parties.
  • Faxes prescription labels for medication reorders.
  • Copies and prepares charts for patient discharge or transfer.
  • Submits diet requests to the dietary department.
  • Transfers medical records to Health Information Management after the designated period and as required.
  • Possesses the ability to perform duties as a Certified Nursing Assistant when necessary.
  • Assists with meal tray distribution and resident feeding.
  • Helps transport residents to activities.
  • Maintains an adequate supply of forms, reordering as necessary, and prepares supply orders as needed.
  • Serves as a receptionist, demonstrating exceptional customer service at all times.
  • Provides assistance to physicians, mid-level staff, vendors, and facility personnel as required.
  • Acts as a mentor for new staff members.

EDUCATIONAL REQUIREMENTS

Completion of a High School diploma or equivalent experience as a Certified Nursing Assistant is acceptable.


TRAINING
Preferred training includes Nurse Aide and Alzheimer's unit training, though not mandatory.

CERTIFICATION
Must possess and maintain a current BLS - CPR certification.

EXPERIENCE
A minimum of one year of experience as a ward or unit clerk, Nursing Assistant with additional training, or relevant experience is preferred.

EQUIPMENT USED
Calculator, personal computer, telephone, fax machine, paper shredder, copier, printer, scanner, and standard basic nursing equipment.
