Job Summary

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team at the Stafford County Sheriff's Office. As a key member of our Administrative Services Division, you will play a critical role in processing, coordinating, and tracking arrest warrants, civil documents, and associated paperwork.

Key Responsibilities
  • Provide primary clerical and administrative support in an office setting, preparing reports and maintaining accurate records.
  • Maintain accountability for all original warrants and legal documents, ensuring their accuracy and completeness.
  • Clear unserved original warrants and served original warrants through NCIC/VCIN, verifying data for accuracy and completeness.
  • Review and process Capias's received from Courts for accuracy and completion, enabling Capias's and indictments to be served.
  • Perform quarterly audits on all warrants, capiases, and indictments, reconciling records with Court and Commonwealth Attorney records.
  • Coordinate extraditions from outside states with the transportation Sergeant, ensuring timely and efficient processing.
  • Place detainers on subjects in other correctional facilities, maintaining accurate records and ensuring compliance.
  • Send service request/teletypes to other agencies for service on warrants, capiases, indictments, detention orders, and protective orders.
  • Enter a variety of data into computer systems, verifying statistical and other records for accuracy and completeness.
  • Prepare and maintain a variety of office files, compiling information and verifying data.
  • Typing a variety of documents, including correspondence, forms, reports, and related documents, where knowledge of format and presentation is necessary.
  • Assist the public by answering questions and directing to appropriate authority.
  • Operate a variety of standard office equipment, including specialized software.
Requirements
  • Thorough knowledge of the organization and functions of the department and of general administrative policies and practices.
  • Thorough knowledge of standard office practices, procedures, equipment, and office assistance techniques.
  • Thorough knowledge of business English, spelling, and arithmetic.
  • Ability to read, understand, and interpret difficult materials with complicated information that may contain excerpts from regulatory and/or legal documents.
  • Ability to keep office records and to prepare accurate reports from file sources.
  • Ability to perform and organize work independently.
  • Ability to prepare effective correspondence on routine matters and to perform office management details without referral to supervisor.
  • Ability to operate standard office and computer equipment, including ability to operate specialized software.
  • Ability to establish and maintain effective working relationships with associates and the general public.
Education and Experience

Candidates should have a combination of education and experience that is equivalent to a high school diploma, along with extensive clerical and administrative experience. Preference will be given to applicants who hold current NCIC/VCIN certifications.

All Sheriff's Office positions require a criminal history check, background investigation, and physical exam to include alcohol and drug testing.
